Payroll Administrator
Position Summary
- Supports semi and monthly payrolls for three legal entities including payroll postings, cost allocations and transfers and in the absence of manager provide payroll processing coverage.
- Coordinates all regular payroll activities including timesheets.
- Collaborate with HR Business Partners, Benefits and Finance to ensure efficient payroll processing and accounting.
Essential duties and responsibilities
General
§ Address employee’s questions about their paychecks
§ Participate in all discussions in relation to payroll whenever the payroll manager is absent
§ Carry out all regular day to day payroll related process, reconciliations and postings.
§ Ensure strict confidentiality of all payroll related information and data
§ Alternate contact for Ceridian Self-Service site/functionality
Payroll
§ Handle workflow (incl. data input and file uploads) to ensure a proper and timely payroll
§ Reviews/ accepts new hires/terminations and inputs all payroll changes
§ Work on all time data entry and evaluation for accuracy of regular time, vacation payout, salary, retro salary payments related to new hires, leave of absence, overtime, retirements, etc
§ Verify payroll before transmitting
§ Coordinate payroll funding with Money Transfer staff
§ Prepare wire transfers of employees 401(k) contributions, HSA, transit, medical/dental claims for all entities, including the semi-monthly FSA Claims funding entry
§ Prepare payroll booking journals and ADIs
Reconciliation
§ Monthly reconciles all HR suspense accounts.
§ Reconciles the HR accounts set-up in EasyMatch on a daily basis and researches and clears any
outstanding open items
§ Reconciles eTrac files sent to Benefit Resources vs. payroll deductions
§ 401k reconciliation Fidelity vs. Payroll on a quarterly basis
§ FSA quarterly reconciliation (UHC vs. Payroll)
Key Requirements (education, work experience, further qualifications)
- Communication skills (written and oral) and ability to work with others
- Familiarity with payroll software (either Ceridian Dayforce or ADP) and MS Office (Excel)
- Professional certification preferred (e.g. FPC, CPP)
- Strong financial accounting experience
- Detail oriented and good math skills
- Current knowledge of payroll procedures, related laws and taxes
- Good organization and time management skills required
- Min 3-5 years hands on experience in payroll function
