Job Summary

Responsible for supporting the Payroll Manager and Payroll team in the analysis and processing of employee records including activation forms and status changes during the employee on-boarding and exiting phase with Alcott and clients. Responsible for coordinating activities necessary in recording hours of work, processing time records, compiling payroll statistics, maintaining payroll control records and calculating payrolls of Alcott’s clients.

Responsibilities

  • Investigates complaints concerning client’s payroll and billing issues and takes appropriate correction action.
  • Responsible for processing assigned payrolls.
  • Completion of projects as they arise and assigned by Payroll Manager
  • Responsible for contacting clients daily to obtain payroll data including salary adjustments, special payments, tax allocations and employee deductions.
  • Back-up for Absent Payroll Specialist(s).
  • Keeps abreast of the payroll processing system and changes in wage and tax laws, and corresponds with federal, state and local tax agencies on behalf of our client.
  • Responsible for the processing of the garnishments
  • Act as mentor to provide support and training to team members whenever necessary.
  • Responsible for coordinating and processing new hire paperwork in accordance to timelines for payroll processing. Including;
  • Employee accrual setup
  • Responsible for working with HR regarding the processing and execution of severance agreements.
  • Responsible for coordinating date of last pay, pay out of accrued time and processing of termination.
  • Responsible for assisting in the on-boarding of new clients. The duties include review of the payroll process, reports, standard forms and billing. He/ She will continue to manage the new account including processing the payroll until the account is stabilize. At which time he/she will work with the Payroll Manager to transfer to the designated Payroll Specialist.
  • Reviews payroll to ensure accuracy by examining work for exactness, neatness and issues written and oral instructions to clients to insure compliance to proper procedures
  • Required to maintain compliance with company policies and government regulations
  • Consulting with HR Department to ensure appropriate FLSA status
  • Responsible for review of daily audit report of employee changes
  • Working with Risk Management for appropriate job classification for workers compensation

Minimum Requirements

  • Ability to calculate figures and understand the computation of amounts such as discounts, interest, commissions, proportions, percentages, in practical situations.
  • Associate's degree (A. A.) from a college or university; or equivalent combination of education and experience. Min 5 years payroll processing experience in multi-state environment. Must know federal and state wage and hour regulations.
  • Ability to write routine reports and correspondence.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to communicate professionally both verbally and in writing with clients and/or employees of organization.

Preferred Skills

  • This job has no supervisory responsibilities.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Knowledge of MS Word; MW Excel; HRIS and payroll systems.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Physical Requirements/Working Conditions

  • Handle/grasp documents or office equipment.
  • Constantly operates a computer and other office productivity machinery such as a calculator, copy machine and computer printer.
  • Remain in a stationary position 50% of the time.
  • Lift/carry/move objects, files and documents up to 10 pounds.
  • Talk, listen, and speak clearly on telephone.
  • Walk short distances.
  • Sit and/or stand for short or extended periods of time.
  • Occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Reach above and/or below shoulder.
  • Work in an office environment using standard office equipment.
  • Maintain regular and punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
