SAN DIEGO, CA
The Museum is looking for a part-time Office Assistant that is interested in working in a highly collaborative fun and customer focused environment, appreciates volunteer service, enjoys problem solving and is passionate about making an impact at work. A relatively young and small organization, the Midway provides an excellent opportunity for staff to experience ownership of their work and see immediate results of their efforts while also enjoying a balanced work/life.
Position Summary: The Office Assistant performs a wide range of clerical and customer service duties in support of the Museum’s general administrative activities.
Hours: 24 hours per week, may vary slightly depending on fluctuating workload
Schedule: 6 hour shifts between 8:30 am and 4:30 pm, 4 days per week availability required
Pay rate: $19.00 – $21.00. The pay rate will be determined by your related education and experience.
Primary Duties and Responsibilities:
- Coordinate participation and attendance at sponsored events.
- Update schedule and general information for the volunteer receptionist’s desk, answer questions as needed.
- Process auction/raffle package requests from external organizations.
- Create purchase orders and expense reports and compile receipts to reconcile credit card accounts for Admin department.
- Act as a backup for the Executive Assistant to the President.
- Provide administrative support and participate on MWR event committees as needed.
- Performs miscellaneous job-related duties as assigned.
- Process incoming/outgoing museum mail and manage the postage machine.
- Monitor and replenish office and break room supplies.
- Perform administrative tasks related to the Museum’s Padre and Southwest ticket programs.
- Update contact lists and maintain electronic files for Board of Directors and Board Committees.
KNOWLEDGE, SKILLS/ABILITIES:
EDUCATION/EXPERIENCE:
- High School Diploma/GED
- Associate degree, or equivalent from a two-year college or technical school or prior clerical experience and/or training.
SKILLS/ABILITIES:
- Team player – ready and willing to help wherever needed or assigned.
- Proficient computer skills (e.g., Microsoft Applications) and ability to learn new programs quickly.
- Excellent customer service skills.
- Ability to interact with a wide variety of individuals in a professional manner.
- Excellent verbal and written communication skills.
- Ability to deal effectively with deadlines and time pressures.
- Applicants must be able to pass a background check.
- Excellent organizational skills and high attention to detail.
WORKING CONDITIONS:
- Job Conditions/Work Location: Work is performed aboard the USS Midway in former administrative offices restored to basic working conditions.
- Physical Requirements: Ability to climb up and down stairs and ladders; to bend, stoop, and lift standard office supplies and small office items.
- Equipment Operated: Computer, facsimile, printer, scanner, telephone.
