Position Summary:
The Operations Coordinator is part of a team responsible for providing administrative support to all departments. The ideal candidate is eager to learn, adaptable, organized, able to multitask, and has extreme attention to detail.
Responsibilities:
·Accounting and invoice management via QuickBooks.
·SharePoint structure and permissions management,
·Monitor communications via email and phone.
·Generating spending and other reports with Excel.
·Manage company and executive schedules through Outlook.
·Plan company events, purchase office supplies, and assist with data entry.
·Coordinate travel arrangements and expense reports
·Prepare and edit letters, memos, quotes, and other correspondence.
·Manage samples to ensure they are labeled, shipped, and delivered on time.
·Prepare conference rooms for meetings by ensuring they are clean and technologically functional.
·Produce, revise, and refine presentation materials using PowerPoint.
·Learn the features of products to assist with sales presentations.
·Other responsibilities and special projects may be assigned.
Qualifications:
·Excellent written, verbal, and listening skills.
·Great organizational, management, and problem-solving skills
·Advanced proficiency in Microsoft Office Suite (PowerPoint, Excel, Outlook)
·(+BONUS) Bilingual proficiency in Spanish or Mandarin.
·Enterprising: Eager to learn and improve, customer-centric, and proactive.
·Adaptable: Able to prioritize based on changing needs.
