Fiore Home, a residential interior design firm in Yarmouth, Maine, seeks a full-time Operations Administrator to support busy design team and showroom. Are you a born leader and a diplomat with the ability to multi-task, prioritize, manage, and delegate? Do you keep a flawless office calendar, support your team with grace and good humor, and communicate effectively with vendors and clients? If you're fired up by processes and systems, curious, self-assured, and proactive--with a gift for spotting problems, breaking them down, and taking strategic steps to solve them--this is the role for you. The ideal candidate works well with others and understands the concept of "grow as you go," confidently rooting and cultivating new internal structures and procedures while managing the day-to-day flow of a fast-paced design studio.
While we’d LOVE to fill a full time position, we are open to a part time position for the right candidate.
Core Responsibilities:
- Handle daily office administrative: manage email inbox and tasks, respond to phone messages, coordinate team schedule, track client appointments and vendor visits, and maintain a general office calendar
- Liaise with bookkeeper and harvest materials as requested
- Attend events and conferences as needed
- Complete and update work-in-progress standard operational procedure manual
- Keep memberships, business software, and insurance renewals up to date
- Purchase office supplies and equipment
- Review monthly and quarterly financial reports.
- Oversee nonprofit partnerships
- Maintain account lists and passwords/user IDs
- Oversee the company’s schedule (appointments, reminders) and trouble-shoot conflicts
- Assist with hiring and human resources management
- Manage inventory flow: track and record orders from issue to delivery and process damage claims
- Assist CEO with forecasting and see that company strategies and goals are executed and that they remain front and center. CPA will provide all necessary reports.
Requirements:
- Proficiency with Apple products, Microsoft Suite, G-Suite, and calendar management software.
- Top notch organizational skills and attention to detail
- Significant administrative and managerial experience
- Experience with Houzz Pro and/or Basecamp are a plus
- An upbeat attitude and a knack for creative problem solving
