Description Of Duties / Essential Functions
  • Gathers and prepares materials and information for staff and business meetings and presentations.
  • Opens, sorts and distributes mail. Handles incoming routine correspondence using standardized responses or formats. Sends faxes, packages and mail.
  • Types and proofreads correspondence, reports, forms, documents, etc. for accuracy and format. May compose and prepare simple and routine correspondence for the supervisors approval. May maintain correspondence logs.
  • Maintains a filing system for correspondence, reports, documents, general information on departmental operations, etc.
  • Procures necessary supplies and services (e.g. office supplies, telephone change orders, equipment repair and maintenance, office furniture, office forms, etc.)
  • May prepare time and attendance for managements signature.
  • Maintains calendar by scheduling meetings and appointments.
  • Photocopies, collates, and distributes correspondence, articles, reports, brochures, policies, procedures, bulletins, etc.
  • Handles Fire Code Complaints (Fire Hydrant Obstructed/Red Tag Notifications), Citations, and Knox Box Keys.
  • Answers telephone to screen and distribute calls, takes messages and answers simple questions. Greets and announces visitors. Receives and directs inquiries or comments regarding services.

WORKING CONDITIONS
Work consists of standard procedures and tasks where basic analytic ability is required, as in the comparison of numbers and simple facts in selecting the correct action. The position is physically comfortable most of the time with occasional periods of stooping, bending and/or light lifting of materials of up to 10 pounds.
Minimum Requirements
MINIMUM EDUCATION REQUIREMENTS
Requires a high school diploma or a GED.
Certification: Maybe required to pass a City administered typing test with a typing speed of 60 words per minute with no more than 6 errors.
Minimum Experience Requirements
One year of clerical or administrative support experience is required.

PREFERENCES
The Following Skills Are Preferred
Proficient in Microsoft Office applications such as Microsoft Word, Excel, and Outlook.
Bilingual Spanish/English Preferred But Not Required.

The salary range for this position is: Salary Range - Pay Grade 9
