Job Description

The Digital team within WEX is a highly innovative, fast paced team who is obsessively focused on our customers, insights and innovation. This team leads many cross-functional efforts to drive change and deliver results across WEX.


The Administrative Assistant will be an integral part of the growing Digital and Product team, supporting both C-suite and senior leadership. This role will report to the Chief Digital Officer’s Executive Assistant.


What You’ll Do


  • Process expense reports and reimbursements for Digital Leadership team members
  • Proactively manage complex global calendars for Digital Leadership team members
  • Provide cross-coverage and back-up support to other Administrative/Executive Assistants
  • Prepare meeting agendas, take meeting notes, and send out relevant follow-ups
  • Assist with event planning and execution, including securing meeting space, event venues, and restaurants
  • Schedule domestic and international travel arrangements for Digital Leadership team members
  • Work 60% remotely and 40% in Portland, ME Office.
  • Work with Chief Digital Officer’s project manager/ea to gather data and prepare large and small scale presentations, including Digital Town Hall, key leadership and team meetings
  • Organize meetings for the Digital leadership team, including scheduling, sending reminders, coordinating meeting rooms, and organizing catering when needed on-site


Must Haves


  • Proficiency in Google Tool Suite, including Gmail, calendars, docs, sheets, and slides (Microsoft Intermediate or Advance usage helpful)
  • Outstanding interpersonal and proactive communication skills, plus high level of reliability, professionalism and discretion
  • Excellent organizational, multi-tasking, and prioritization abilities with an acute attention to detail
  • Strong service orientation, high energy, positive attitude and proactive problem-solving skills
  • Proactively track action items, set reminders for follow-up, provide updates and status on items that are complete or incomplete
  • Minimum 2 years of administrative experience in a complex, global professional environment
  • Flexible, able to bring order to ambiguous situations and accommodate last-minute changes and requests in a fast-paced environment.


The base pay range represents the anticipated low and high end of the pay range for this position. Actual pay rates will vary and will be based on various factors, such as your qualifications, skills, competencies, and proficiency for the role. Base pay is one component of WEX's total compensation package. Most sales positions are eligible for commission under the terms of an applicable plan. Non-sales roles are typically eligible for a quarterly or annual bonus based on their role and applicable plan. Salary Pay Range: $18.00 - $24.00
