Position Description


Part-time, 16 hours/week. The office assistant duties include independent performance of complex clerical operations. Work requires frequent exercise of independent judgment in working with people and issues. The individual will provide clerical and administrative support to the various faculty and staff positions in the supported academic programs. This position will be based on the Jamestown Campus and may require occasional travel to other college locations.


Essential Functions


  • Assists in the master schedule production.
  • Work closely with the Dean, faculty, and staff to meet academic goals.
  • Attend and assist in the coordination and set up of special events, as needed.
  • Assist with the organization and facilitation of various program workshops, training sessions, and program meetings.
  • Maintain a consistent program message in communicating with various program constituencies.
  • Regular/punctual attendance.
  • Identify work-related issues and convey possible solutions.
  • Create and maintain a comprehensive program database to include multiple program facets, contact groups, and distribution lists. This will include work with Microsoft Word, Excel, Access, and PowerPoint as well as Google Workspace Apps.
  • Assist with special projects as directed.
  • Work closely with academic directors to manage content of web pages.
  • Performs other duties as needed or assigned
  • Provide telephone, typing, clerical, and administrative support, including meeting arrangements, appointments, memos, etc.
  • Addresses students’ needs attentively and responsively.
  • Serve as office receptionist and provide secretarial services, including, but not limited to, typing, copying, scheduling meetings, preparing mailings, administering surveys, preparing program materials, and ordering supplies.
  • Support Dean and faculty as directed.


Qualifications


Required: Associate’s degree. Minimum two (2) years business/secretarial/administrative experience. Proficient in Microsoft Access, PowerPoint, WORD and EXCEL. Proficient in Google Workspace apps, including Gmail, Drive, Docs, and Sheets. Strong interpersonal, administrative, and organizational skills, and ability to function with minimal supervision.


Preferred: Bachelor’s degree and experience in Higher Education. Experience with Ellucian Banner.


Additional Information


Salary: $15.60 - $16.60/hour. Excellent benefits package, including medical and dental insurance, paid vacation and sick leave, and NYS retirement.
