The HR Coordinator’s primary responsibility is to assist the HR Manager, Crew Officer, Training Manager and Manager, Learning and Development in all administration tasks as directed by them. The role is also responsible for arranging and assisting in the development of a range of entertainment activities for the Crew onboard.
Responsibilities
HR Administration
- Assist Crew Officer with Crew embarkation, disembarkation and clearance procedures, including, but not limited to travel documentation and other relevant required paperwork
- Obtain flight quotes as instructed by Crew Officer
- Process onboard charges in HRIS for reimbursements
- Assist with administration tasks such as printing, scanning, filing, presentations, event planning, directory updates and noticeboards etc. as instructed by the HR division
- Check receipts for General Reimbursements and work out conversion rates before submitting to Crew Officer for final posting in HRIS
- Collect, organise and file pertinent Crew Member documentation
- Prepare and distribute Crew Lists, Crew Departure Manifests after each turnaround port
- Maintain an updated Vacation Schedule in HRIS for all departments with the assistance of Division Heads
Crew Welfare
- Responsible for the storage, inventory and distribution of prizes, decorations and other materials needed for Crew activities
- Crew Committee duties as directed by the HR Manager
- Update Crew TV channels
- Take a leading role in the yearly decoration of Crew Areas for the festive season
- Organize, coordinate and promote all Crew events, including transport and clean-up where required
- Coordinate the upkeep and maintenance of Crew bicycles with the responsible person
- Prepare and post the Monthly Crew Calendar for onboard activities
Hiring Requirements
- Financial / accounting background beneficial
- Minimum of 3 years’ relevant experience as HR Coordinator or similar position on a luxury cruise ship or similar
- Experience working in a multi-cultural environment
- Excellent administrative, planning and organizational skills, with an ability to prioritize
- Excellent computer skills to include Microsoft Office and Outlook
- Experience in Information Systems including HRIS, Fidelio, MMS
- High level of creativity and ability to host Crew Events required
- Able to read, write and speak fluently in English
- Qualification in Human Resources Management or equivalent HR certification preferred
- High degree of accuracy required
