Job Description
We are seeking a dedicated and compassionate individual to join our team as a Scheduling Coordinator. In this role, you will play a vital role in providing exceptional customer experiences by coordinating all aspects of scheduling for physicians, medical facilities, and medical practices. Your responsibilities will include managing facility resources, physician availability, authorizations, insurance verification, benefits, and payment expectations. By leveraging your knowledge of customer engagement strategies, clinical procedures, and our facilities, you will ensure that each interaction is easy, empathetic, and stands out in the marketplace.
Core Functions
Coordinate and schedule medical appointments by efficiently managing patients, providers, facility resources, ancillary staff, records, referrals, authorizations, and payers.
Utilize various electronic medical record/scheduling software systems to schedule appointments, tests, and procedures according to established protocols and standards.
Offer alternative scheduling options when a patient's preference is not available, prioritizing patient safety and following procedures and protocols.
Obtain and accurately document patient demographics, insurance information, and necessary documents required for authorizations, referrals, or other data.
Provide patients with information, pre and post-test instructions, appointment locations, and directions, ensuring a seamless experience and addressing any questions within guidelines and protocols.
Set payment expectations and provide estimated payment details to ensure transparency and prevent surprises at the point of service.
Foster effective communication and build strong relationships with patients, facilities, providers, and clinical colleagues through written, digital, and verbal channels, anticipating and meeting their needs.
Handle inbound and outbound customer and staff communications across all facilities, ensuring accurate and reliable managed care information.
Minimum Qualifications
High school diploma/GED or equivalent working knowledge.
Minimum of 1 year of customer service or related experience in a healthcare setting, such as a medical office/clinic or hospital scheduling.
Demonstrated ability to provide exceptional customer service in a fast-paced inbound contact center environment.
Proficiency in using technology tools to research and obtain accurate information for customer inquiries via calls, emails, and instant messaging/chat.
Strong interpersonal and communication skills, maintaining a positive and helpful attitude with customers, providers, and clinic operations.
Excellent organizational and time management skills, with the ability to follow oral and written directions and meet deadlines.
Proficiency in computer skills and accurate typing.
Preferred Qualifications
Experience in an inbound call center or scheduler role in a practice management environment.
Knowledge of payor contract terms and processes.
Familiarity with medical terminology.
Additional years of customer service or related experience in a healthcare setting, such as a medical office/clinic or hospital scheduling.
