The Position:Group Sales Coordinator. The Group Sales Coordinator will be responsible for overseeing the Sales Team’s day-to-day operations and the flow of the sales process between the sales team, customers, and hotel partners under the direction of the Director of Sales. Strong candidates will have the ability to anticipate, multi-task, analyze sales data, and provide exceptional customer service to clients. This position is located on-site at the VHB office in Downtown Huntington Beach, with the option to work remote one day a week. Travel: 5%
Responsibilities:
- Attend industry functions when necessary; may include morning, evening, or weekend functions.
- Work with staff members from other departments - marketing, tourism, digital, PR, and visitor services - to assist with special projects.
- Work with Office Manager to maintain supplies for the sales team, including supplies of sales presentation materials, brochures, amenities, and client gifts.
- Act as liaison between Sales team and clients in Sales team's absence and respond to inquiries in a timely, clear and professional manner.
- Maintain customer profiles, contacts and other records in the Simpleview CRM.
- Exercise decision-making skills to direct requests both internally and externally.
- Assist the Sales team with the preparation of contracts, proposals and addendums and track completion status.
- Master the Group Sales module of the Simpleview CRM.
- Assist with FAM tours, site inspections, tradeshows, and conferences.
- Maintain a well-informed working knowledge of all Huntington Beach hotels, attractions, and services, both public and private.
- Book and coordinate hotel, transportation, amenities, and reservations for VIP guests and clients.
- Assist with department budget planning.
- Receive RFP inquiries and distribute to appropriate sales team member.
- Create and maintain project-related spreadsheets for co-op tradeshows, publications, and other projects.
- Track the goals and activities of each member of the sales team.
Qualifications:
- 1-2 years of hotel experience preferred.
- Working knowledge of Simpleview CRM software.
- Working knowledge of all standard office equipment including iPads.
- High proficiency in Office 365, including Word, Excel, Outlook, PowerPoint, and Teams.
- 1-2 years of administrative support.
- Working knowledge of CVENT software.
- Some college preferred.
