JOB TITLE: Executive Assistant to the President/COO


DIVISION: General and Administrative


REPORTS TO: President/COO


LOCATION: Administration


CLASSIFICATION: Full Time Year Round/Salary


PURPOSE OF POSITION: The Executive Assistant provides a high-level of administrative support to the President/COO and other members of the Senior Leadership Team by handling information requests and performing clerical functions such as preparing correspondence, receiving calls and in-person guests, arranging meetings, managing schedules/appointments, etc.


SPECIFIC JOB REQUIREMENTS:

  • Must maintain a strict level of confidentiality regarding privileged company business
  • Must possess computer literacy for email functions; Microsoft Office suite including Word, Power Point, Teams, One Drive, Share Point, and basic Microsoft Excel functions to manipulate spreadsheets; organizing electronic files on a drive share and organizing paper files as needed
  • Must be a self-starter by seeing the big picture and making timely proposals for increased efficiency in daily tasks and functions
  • Must exercise excellent communication with other staff and our guests


JOB DUTIES AND RESPONSIBILITIES FOR EXECUTIVE SUPPORT:


This position will spend most of the time supporting the President/COO but will also provide some administrative support in the tasks below to other members of the Senior Leadership Team.
  • Answering phone calls, taking messages, providing follow up on calls. (Provides a “gatekeeper” role for direct access to the COO both in person and on the phone)
  • Attend SMVA other resort meetings; take and distribute notes and follow up on action items
  • Scheduling, organizing and coordinating meetings
  • Build strong working relationships with Solitude staff, Alterra parent company office staff, homeowners and other stakeholders
  • Composing and preparing letters/memos (that can be highly confidential), transcribing letters/memos, editing/proofing of letters/memos and sending letters/memos and other correspondence via mail or electronically
  • Making travel arrangements, manage travel itineraries and expense reports
  • Recording minutes from a variety of meetings and then editing and distributing minutes to the appropriate people
  • Completes a broad variety of administrative tasks for the President/COO including but not limited to:
  • Processing invoices and check requests through accounting
  • Attend weekly director staff meeting, take and distribute notes and follow up on action items
  • Perform other duties as assigned to support the executive team
  • Handling and filing records and documents
  • Managing an extremely busy calendar of appointments
  • Collecting and writing reports
  • Meet regularly (briefly and daily when possible) with the President/COO to give updates on projects, schedules and correspondence
  • Conduct site tours for groups and individuals when needed
  • Handle special projects as assigned
  • Sorting mail and other correspondence
  • Prepare meeting agendas and distribute


Other Important Information


  • Intermediate skiing/riding skills preferred.
  • This is largely a sitting/sedentary role, however, there may be times when the position will require time out on the mountain to conduct business. There may be times when standing, bending, and lifting may be necessary.
  • No overnight travel is expected for this position but there may be some local day travel for events or functions.
  • This position does not have supervisory responsibilities.
  • This is a full-time position that will generally require 40 hours per week. Work schedule is generally Monday – Friday, 8:00 AM – 5:00 PM. However, schedules may shift during peak seasonal periods. Some weekend/holiday work required.
