Position Title: Special Assistant to the Managing Director
Reports to:Managing Director
Classification: Full time, salaried, exempt
Salary Range: $55,000-$65,000
Location: Washington, DC (The position is not eligible for remote work.)
Position Description:
The Washington Ballet is seeking a Special Assistant to provide direct support to the Managing Director. This role involves assisting with day-to-day tasks, major special projects, and collaborating with the leadership team and Board of Directors. The ideal candidate should be highly organized, proactive, detail-oriented, possess strong administrative skills and excel at building trusting relationships. This position reports to the Managing Director and requires occasional evening and weekend work. Responsibilities include general admin for the MD, managing special projects with the Senior Leadership Team, and serving as a liaison to the Board of Directors (split into ~40%, ~40%, and ~20% respectively).
Key Job Duties:
·Organize the MD’s calendar, identifying and resolving scheduling issues;
·Manage and prioritize correspondence and information flow for MD;
·Ensure MD has necessary information and preparation for internal and external meetings, including by conducting research and/or gathering and analyzing information from relevant team members; take notes in meetings as requested;
·Move MD’s priorities forward through follow-up within the organization as needed;
·Respond to phone calls, mail, and e-mail, handling a wide range of information dissemination; compose and edit letters, e-mail and other correspondence;
·Work withTWB leadership to ensure effective information flow among leadership and from leadership to staff, including by developing written materials;
·Provide additional administrative support including expense reports, travel coordination and meeting/logistics preparation; filing, copying, mailing as required;
·Support VIP experience coordination on behalf of MD: such as performance tickets for government officials, ambassadors or special guests.
·Serve as key board liaison on behalf of MD with duties to include: logistics and planning for events such as board meetings, and the MD and board related logistics for the annual gala; prepare board and executive committee meeting agendas, attend meetings, take notes, and finalize official meeting minutes for approval;
·Assist with research, vetting and communication with prospective new Board of Directors members;
·Maintain and update Board of Directors orientation and support materials;
·Keep Board of Directors contact lists up-to-date and collect annual demographic and disclosure of interest information from Board of Directors members;
·Undertake various special projects as assigned, encompassing both short- and long-term initiatives related to Campaigns and other customized experiences.
Required Skills and Knowledge:
· 2-4 years experience working in a fast-paced organizational setting; administrative experience in a performing arts environment is a plus, but not required;
·High level of interpersonal skills and ability to assess sensitivity social dynamics to effectively interact with all levels of partners and staff;
·Ability to hold colleagues to high standards of excellence while maintaining a positive work environment;
·Ability to course correct and have difficult conversations;
·Keen critical thinking and problem-solving skills;
·A desire to drive efficiency and improve impact;
·Dependable. Exceptional follow-through and attention to detail;

·Effective communicator both in written formal correspondence, by phone and in person;
·Proficiency in use of business technology for daily productivity (Teams, SharePoint, Microsoft Office).
