Job Description
What You'll Do

As the Executive Assistant to the Chief People Officer (CPO), you will support the CPO as she supports Cisco’s ELT, oversees and executes upon the P&C Strategy, and leads the P&C organization. In addition to general administrative duties of an EA, daily tasks are carried out at a higher level of complexity. The EA to the CPO possesses strong interpersonal skills, independent judgment, utmost professionalism, and an ability to balance both strategic and tactical actions. CORE RESPONSIBILITIES
  • See around corners, operate in a detail-oriented manner, and anticipate the needs of the Chief People Officer
  • Able to work with limited direction, with a take-charge demeanor and ability to successfully operate with limited direction and ambiguity
  • Event Speaking Engagement Coordination: Responsible for a running list of Chief People Officer’s engagements. Works closely with communications team to ensure content needs are understood and set in motion so the Chief People Officer is prepared for each engagement.
  • Calendar Management: Management of Chief People Officer’s calendar and daily schedule to include prioritizing conflicting meeting requests, supervising action items and commitments of executive and following-up to ensure completion. This will require outstanding organization skills, prioritizing multiple priorities, and keeping a lively executive on track and on schedule.
  • Meeting Planning and organizations: Assists the Chief People Officer in planning and organizing meetings by taking ownership for assembling the agenda, location, accommodating technology requirements based upon participant needs, and all other meeting logistics. May further prepare meeting briefing documents by taking and disseminating notes and formulating post meeting action item list.
  • Challenge ‘the way we’ve always done it’ and provide a deeper, more innovative way of doing things
  • Exercise critical and independent judgment when it comes to the Chief People Officer’s calendar and time
  • Think creatively and calmly when it comes to quick and unplanned changes in schedule
  • Special Projects: Providing analytical support to assist executive on special projects. This includes researching issues, analyzing problems, compiling data, and preparing reports.
  • Self-motivated and proactive around needs of the Chief People Officer and the organization
  • Travel and Expense Management: Responsible for making in-depth global travel arrangements for Chief People Officer and handling Cisco expenses.
  • Travel Briefing Preparation: This work includes creating travel packs for international trips, combining all event information, coordinated logistics of travel, and also customer/team asks.
  • Keep the big picture in mind when making independent decisions that affect the Chief People Officer’s calendar
  • Correspondence/Approvals: Supports Chief People Officer by acting as a proxy for communications and approvals as authorized. The EA answers identifies crucial information, refers (filters) routine matters to appropriate parties, and follows up to ensure proper disposition. The EA takes initiative to resolve issues within specified policies and guidelines and provides mentorship to the administrative community members on problem solving.
  • Mentor new Executive Administrative Assistants and other administrators: Participates in a cross-functional EA network and will lead the People and Communities organization’s community of Admins.
  • Effectively manage CPO's calendar by analyzing all requests for CPO's time and attention. Responsible for double-clicking on all requests to ensure meeting is priority for CPO; triages requests, when appropriate, to other stakeholders when meetings need to be realigned.
  • Confidentiality: Deal expertly with highly critical and confidential matters and materials.
  • Earn administrative community respect and collaborate with and through others as needed
  • Use tact, subtlety and a practical knowledge of company policies, practices and procedures
  • Communicate and respond to all appropriate stakeholders with sophistication, professionalism, and promptness.
Who You Are
  • Preferred: BA/BS or equivalent experience
  • Experienced desktop calendar management program experience Why Cisco
  • Past work experience in the high-tech industry
  • EA or equivalent experience; 8+ years’ experience in administrative environment with a minimum of four years working at the Executive level. C-suite executive support preferred.
  • Generally, receives no instruction on routine tasks and very little instruction on new project
  • Expert level knowledge of Windows desktop computer applications (Word, Excel, and PowerPoint)
  • Ability to prioritize and multitask
  • Excellent verbal and written communication skills including the ability to connect and communicate with all levels of Executive/Senior staff and clients
  • Works in an organized and focused manner. Is detail oriented
  • Ability to navigate web and email at high competency knowledge
  • Experience in planning meetings and coordinating travel
