The Executive Assistant to the CEO will provide high-level administrative support to the CEO, while also managing day-to-day office operations. The ideal candidate should be able to multitask, think critically and creatively, anticipate needs, complete special projects, and proactively update key stakeholders. This role will require a high level of discretion and the ability to maintain confidentiality. The successful candidate must have excellent communication skills, be proficient in Microsoft PowerPoint, Outlook, Teams and Excel, and have experience managing office functions. The candidate should also possess the ability to make quick and effective decisions when faced with ambiguity or uncertainty. The successful candidate should be able to adapt quickly to changing priorities and business needs.
Responsibilities:
- Completing and submitting expense reports
- Handle confidential information and maintain strict confidentiality
- Ensure that the office operates smoothly and efficiently
- Eager to take on new tasks as needed and show a strong interest in learning different aspects of the business
- Manage the CEO's calendar and schedule appointments, meetings, and travel arrangements
- Willingness to receive feedback and implement changes to improve performance
- Display sound judgment and the ability to think critically and make decisions in a timely manner
- Prepare reports, presentations, and other documents using Microsoft PowerPoint and Excel
- Manage office functions, including ordering supplies, overseeing vendors, and maintaining office equipment
- Complete special projects as assigned by the CEO
- Serve as the point of contact between the CEO and internal/external stakeholders; communicate directly, and on behalf of the CEO to key internal/external stakeholders
- Anticipate needs and proactively update key stakeholders on upcoming events, meetings, and other relevant information
The salary range for this role is $66,150 to $73,500.
Qualifications:
- 3+ years of experience in a similar role supporting a CEO or executive
- Bachelor's degree or equivalent experience in a related field
- Ability to work independently and as part of a team
- Proficient in Microsoft PowerPoint, Outlook, Teams and Excel
- Strong critical thinking and problem-solving skills
- Strong written and verbal communication skills
- Experience managing office functions, ordering supplies, and overseeing vendors
- Excellent organizational skills with the ability to multitask and prioritize
- High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, employees and external vendors
- Ability to maintain confidentiality
- Comfortable working in a small office environment with a team of 5 people
