Job Description

Executive Assistant to CEO and Vice CEO for Chain Market

A well-known chain market seeks an Executive Assistant. This is part of the office leadership team and performs comprehensive and confidential administrative duties for the CEO, Vice CEO and other members of senior management. The role is in Monrovia IN OFFICE, Monday through Friday 8am – 5pm. Salary up to 100K DOE plus Health Benefits. For the right person, and with proven success and work ethic, there can be growth within the company (after a couple of years). GREAT BOSS!

Principal Responsibilities:

· Assist CEO and Vice CEO with daily schedule and duties, including managing business calendar, commitments, and detailed travel arrangements (planning itineraries, developing agendas, meeting materials, and reporting expenses, etc.).

· Answers and screens emails, calls, receives and relays messages, handles requests for information and assistance.

Schedules and coordinates meetings, and/or conference calls. Prepares rooms for meetings; arranges for necessary materials and refreshments.

· Establishes and maintains a variety of office filing and record-keeping systems.

· Develop and maintain working relationships across the company to facilitate efficiency and problem solving.

· Aids as a back-up to the office manager and front desk supervisor when needed.

Qualifications:

3-7 years of experience working with senior executives.

Confident interacting and communicating with senior executives; experience preparing for executive-level meetings.

A high degree of professionalism, integrity, discretion, initiative and emotional maturity.

Extremely detail oriented with great follow-through.

Proficiency with Microsoft Excel, Power Point and Word and the ability to apply these skills to essential duties and responsibilities is required.

Experience in booking travel, transportation and creating itineraries.

Ability to work independently; exercising initiative and judgement on a regular basis.

Excellent written and verbal communication skills.

Excellent analytical, problem solving and decision-making skills.

Exhibits patience, respect, and grace under pressure.

Ability to work on-site in an office 5 days a week during normal business hours.

Education: Bachelor’s Degree is preferred.
