Primary Responsibilities
As our Administrative Assistant, you will be at the heart of our operations, providing high-level, hands-on administration and crucial support to our CEO. Your work will span time zones and locations, ensuring seamless professional assistance wherever it's needed. Your main responsibilities will include:
Calendar Management
Collaborating with the Executive team to align calendars and organize meetings efficiently.
Keeping the CEO's calendar up-to-date and handling scheduling of calls and meetings with internal and external stakeholders.
Prioritizing meeting objectives and adapting to frequently changing business needs.
Meeting Logistics
Ensuring the CEO has all the necessary meeting details and updates on participant changes.
Taking meeting notes, capturing deliverables, and reporting back to the Executive team.
Managing the Foundation Collaboration Calendar for Executive team members.
Travel Arrangements
Coordinating frequent domestic and international travel, including airfare, hotels, and ground transportation, adhering to our travel policies.
Assisting the CEO during busy schedules, even across multiple time zones.
General Support
Processing expense reports and ordering meals when needed.
Collaborating with other EA/AAs and supporting various Foundation teams.
Assisting with special projects as assigned and preparing presentations and correspondence.
Qualifications
To thrive in this role, you'll need the following qualifications:
3-5 years of experience supporting C-level Executives.
Familiarity with Google Suite and MS Office Suite.
Expertise in international travel across multiple time zones.
Strong organizational skills and attention to detail.
Experience with modern remote-office technologies (Zoom, Slack, Asana, etc.).
Excellent communication and writing skills across various platforms.
Demonstrated ability to handle sensitive matters with maturity and emotional intelligence.
A proactive problem-solving approach with the ability to adapt to changes seamlessly.
Multitasking abilities, managing conflicting deadlines and a heavy calendar.
A self-starter with a positive and creative mindset.
A professional and personable demeanor, maintaining grace under pressure.
Patience, flexibility, and a good sense of humor.
