The Executive Assistant will provide seamless support to the Head of Real Estate Advisory and team members as directed. The candidate must have strong interpersonal skills, and an excellent work ethic with a desire to learn and excel. In addition, the candidate must practice diplomacy, possess the ability to make decisions in managing projects, prepare reports/presentations and be able to identify and implement process improvement. The candidate will also be responsible for assisting in management of group initiatives, metrics and priorities; developing and maintaining internal and external relationships and correspondence.
Key results expected: effective communication and relationship building with both internal and external contacts including significant prospect and client relationships as well as Bessemer employees; timely and thorough preparation of expense reports; optimum screening of incoming communications and routing for action and follow-up; timely posting of departmental materials to company Intranet and imaging system; well-proofed standard correspondence; comprehensive organization of meetings, luncheons, interviews and special events as needed; effective executive and group calendar management; well-managed travel arrangements to include optimum logistical arrangements; may be required to provide flexible support to other team members as well.
Job Requirements:
- Shows tact, discretion, confidentiality and good judgment in handling sensitive and confidential matters and documentation.
- Three to five years Executive/Administrative Assistant experience (financial services firm or real estate preferred).
- Has excellent attention to detail, and executes responsibilities with a sense of urgency and follow-through.
- Bachelor’s Degree
- Demonstrates ability to prioritize and manage multiple assignments in a fast-paced environment to meet deadlines with efficiency and accuracy.
- Excellent organization and communication and analytical skills.
- Experience administering real estate insurance a plus.
- Candidate must be flexible and adaptable to rapid changes in the daily work environment and be resourceful in solving problems.
- Ability to act in a project management capacity.
- Ability to work overtime with or without notice.
- Excellent computer skills (MS Office Suite (proficiency in Excel, Word and PowerPoint skills required), Visio, Cogency etc.).
- Proven ability to work well in and contribute to a team environment.
The base salary range for this position is ($60,000.00 - $95,000.00). Actual salaries will vary and will be based on various factors, such as skills, experience, and qualification for the role. It is not typical for offers to be made at or near the top of the range.
In addition, this position may be eligible for a discretionary incentive based on individual and company performance.
Position is hybrid and in office 3 days a week.
