Position Responsibilities


Common Future is seeking an Executive Assistant (EA) to play a crucial role in supporting our 3 Co-CEOs. This position requires exceptional organizational skills, attention to detail, discretion, and the ability to handle multiple tasks and priorities simultaneously. The EA will be a vital member of the Office of the CEOs, with the ability to anticipate needs, make independent decisions, and proactively problem solve in ambiguous situations.


Executive Support


  • Manage calendars effectively, ensuring adequate space and time between meetings
  • Managing the details involved with presenting and speaking, including coordinating with key stakeholders, and supporting the development of materials
  • Act as the main point of contact for all technology used across the office of the Co-CEOs such as Google Suite, Slack, Zoom, Notion, Airtable, Loom, Ramp, Lattice, or Mural
  • Support department and sub-team leaders with finding contractors for managing the logistics of other team retreats and meetings
  • Support the preparation of meetings and other engagements by generating background information/prep materials, writing draft emails or other communications
  • Coordinate logistics for Co-CEO, board events, all team and exec team retreats to include: booking travel, preparing itineraries, coordinating meals and making reservations, arranging supplies, booking relevant meeting space as needed, coordinating with trip hosts, and completing expense management
  • Support co-CEOs’ recurring meetings including those in person, such as: (1) Quarterly co-CEO team meetings, (2) Annual all-team in person retreat, (3) Bi-annual executive team meetings, as well as virtual ones: (1) Co-CEO biweekly strategy meetings, (2) Monthly+ Executive team meetings, (3) Monthly fundraising meetings with Revenue team. Meeting timelines/frequency are subject to change depending on organizational need
  • Manage logistics for external and internal meetings, whether virtual or in person, including scheduling, note-taking for virtual meetings, communicating to key stakeholders, following up on action items, and setting up the appropriate tools and technology
  • Arrange meetings such as (1) scheduling co-CEOs with direct reports and other individuals in the organization; (2) ad hoc internal team/subteam meetings; (3) external meetings with funders or partner organizations; (4) conferences and speaking engagements, (5) other
Desired Qualifications


  • Motivated, independent, and self-directed individual ready to support the Co CEOs to improve the functioning of the organization with minimal specific direction
  • Entrepreneurial style, with an enthusiasm for working in a dynamic, fast-paced environment.
  • Experience with productivity software and meeting technology such as Zoom, Airtable, and GSuite, a plus
  • Strong customer service orientation with the ability to anticipate what is needed and shape the path forward
  • Adept at project management with a keen understanding of timelines, scheduling, and reminders
  • Detail oriented with strong verbal, written, and visual communication skills.
  • Passion for racial justice, economic justice, equity, and the work of Common Future.
  • Experience with online and in-person event planning and logistics related to supporting executives
  • Excellent interpersonal skills with diplomacy, tact, and discretion
  • High interest and skill in supporting multiple executives; interest in working at an organization with a shared leadership model
Compensation


This is a full-time, exempt position. The salary range is $70,800 - $86,500 and commensurate with experience.
