The Opportunity
The Executive Assistant (EA) will partner closely with the Vice President, Global Growth Organization (GGO) which is part of Adobe Digital Media Field organization! As a key member of the GGO leadership team, this role also supports senior leaders within GGO and outside of it. By building strong relationships with the executives and team members, you'll be a major contributor to the GGO. Your role will complement and support the leaders of our team's overarching goals and objectives. GGO is an agile and fast-moving organization where constantly evolving schedules and driven collaboration is a key attribute. Key responsibilities include diverse administrative tasks and coordinating special projects including but not limited to the following.
What You'll Do
Organize senior leadership, department communications, quarterly all-hands meetings, and semi-annual team-building events
Compile and publish weekly senior staff minutes and group updates
Maintain up-to-date organizational charts, contact lists, and email alias lists
Extensive executive calendar management for VP and Senior Directors
Seamlessly handle calendar and travel for VP and Senior Directors to help drive maximum effectiveness, all while coordinating complex travel arrangements and successfully handling last-minute changes
Regularly collaborating with cross-functional EAs
Coordinate reoccurring meetings for managers/cross-functional partners, staff meetings and commitments
Coordinate special projects including team on-site/offsite, team building activities, and all-hands meetings
Team space planning and floor moves, and other types of projects
Process forms including expense reports, change of status, employment requisitions, contractor time cards, and IS and Facilities work requests, budget management and processes
Submit and maintain expense and travel reports for VP
Work with vendors and project managers to ensure billing occurs in a timely manner and that project scope changes are considered and accounted for
What you need to succeed
BA/BS degree required
Experience in a fast-paced, start-up environment preferred
Management due to merger and acquisition is highly desired
4-6 years of administrative experience in executive leadership
Proactivity in a fast-paced, constantly evolving global environment
Positive, can-do demeanor even in stressful situations
Desire to constantly look for opportunities to create systems, checklists, and approaches to make things run more smoothly.
Clear and concise written and communication skills
Strong eye for business, eloquent communicator, organizational skills, attention to detail, and timely follow-through
Ability to foresee challenges with calendar, travel needs, etc.
Ownership of the outcome - even when there is a lack of full control, the ability to see it through until it is completed.
Ability to remain flexible, adopt change and handle expectations in situations where you have little control, and prioritize and meet deadlines with little direction
Effective time management skills and proven track record to prioritize when there are conflicting priorities to ensure key projects meet deadlines.
Proven track record to assess and prioritize conflicting demands
Ability to interact with all levels of internal and external contacts with tact and professionalism, confidence, and strong decision-making skills
Handle confidential information with integrity and exercise discretion
Proven mastery of MS Office applications including Slack, Teams, Outlook, Word, PowerPoint, and Excel.
Resourcefulness: Ability to find creative solutions independently
Eagerness to network with other executive assistants at Adobe and collaborate as a worldwide team
Ability to travel occasionally to provide on-site support at events/conferences
Our compensation reflects the cost of labor across several U.S. geographic markets, and we pay differently based on those defined markets. The U.S. pay range for this position is $68,800 -- $146,000 annually. Pay within this range varies by work location and may also depend on job-related knowledge, skills, and experience. Your recruiter can share more about the specific salary range for the job location during the hiring process.
At Adobe, for sales roles starting salaries are expressed as total target compensation (TTC = base + commission), and short-term incentives are in the form of sales commission plans. Non-sales roles starting salaries are expressed as base salary and short-term incentives are in the form of the Annual Incentive Plan (AIP).
In addition, certain roles may be eligible for long-term incentives in the form of a new hire equity award.
