We are seeking a talented and motivated Executive Coordinator to support our Chief Human Resources Officer (CHRO) and Head of Total Rewards. The successful incumbent must demonstrate exceptional administrative and organizational skills, accuracy, attention to detail and the ability to exercise initiative, flexibility, tact, and independent judgment. This role is critical to the success of the Human Resources Organization and the Company. The position requires an understanding of general business and Human Resources knowledge. The individual selected must have a high degree of professionalism and confidentiality, and willingness to continuously acquire new competencies. It will be critical for the individual to foster strong relationships and collaboration with the other team members.

Primary Responsibilities:

  • Provide general HR support to employees, people managers and other business leaders In Human Resources and across The Sr. Leader organization.
  • Creating and distributing highly confidential correspondence, presentations, and reports.
  • Annual budget creation and manage departmental budget and expenses identifying areas of concern and provide recommendations to address concerns.
  • Coordinate and manage multiple HR projects, provide support, and update Business Plans as necessary. Work with relevant HR teams to ensure initiatives and projects are on track in terms of timeline and content. Participate in meetings and provide updates concerning project progress. Collaborate across the HR network and with other stakeholders across the organization to resolve escalated issues and generate solutions to enable client’s business strategy.
  • Coordinating meetings, assisting in agenda creation, and providing minutes, when requested. Supporting logistics for quarterly Town Hall meetings, off-site and special purpose meetings, and events.
  • Responding to requests and administrative deadlines as well as tracking deadlines and approvals. An understanding of how to navigate and utilize the HR, expense and purchasing systems is essential.
  • Manage third-party agreements, process orders, budgets, subscriptions, and resources, including renewals and memberships.
  • Assisting with the coordination and material preparation for Leadership Team meetings, Board and Talent Committee meetings and Executive Leadership Team (ELT) presentations.
  • Contribute to organizational change management activities.
  • Support HR Leadership Team (HRLT) leaders and their team(s) to successfully manage all cyclical people management processes (talent management, succession planning, performance management, compensation planning, etc.).
  • Talent Acquisition support for HR and HRLT+1 positions.
  • Monitoring email and correspondence, for self and the leader, to keep apprised of current issues and situations, responding as appropriate, and tracking any follow-up that is needed. Tracking numerous documents requiring executive approval or attention daily.
  • Maintaining an accurately organized schedule for the leaders for both internal business as well as external committees and commitments. Use discretion in setting up and accepting appointments; gather pre-reads and background information, when appropriate.
  • Provide analytical support which may include research, project or situational assessment, data gathering and reporting. Share ideas and recommendations clearly.

Education Minimum Requirements:

  • Bachelor’s degree (or equivalent combination of qualifications/experience).

Required Experience and Skills:

  • Strong organizational, prioritization and time management skills.
  • Business systems processing experience for expense reports, purchase orders and payment requests, and reporting.
  • Ability to problem solve through investigation and solution identification.
  • Ability to prepare and assist with PowerPoint presentations and manipulate / work with advanced Excel spreadsheets.
  • 7+ years Executive Assistant or equivalent role, supporting Executive leaders and their organization.
  • Ability to handle sensitive data with discretion and confidentiality.
  • Outstanding executive presence and effective business communications - both written and oral - are necessary for daily interaction with Executive Leadership Team members, Board members, and external partners.
  • Exceptional interpersonal skills and the ability to manage relationships with internal and external parties are essential, including significant interaction with internal and external multi-national senior executives and political officials.
  • Demonstrated project management skills. Ability to develop, communicate and oversee projects and required communications within a set timeline and budget.
  • 3 years budget and/or expense tracking experience, 3 years project coordination experience.
  • Expertise in using MS Office Suite (Outlook, Word, Excel, PowerPoint, OneNote) and operation of other related programs & HR systems.
