We are a dynamic organization in search of an Executive Assistant to join our team. We are committed to providing high-quality healthcare services to our community. Our Executive Assistant plays a pivotal role in ensuring the smooth operation of our executive team.
Summary
We are seeking an Executive Assistant to provide exceptional administrative support to our Chief Executive Officer and Director of Operations. As the right hand to our executives, you will also assist with various departmental tasks. The ideal candidate will possess outstanding communication skills, handle sensitive information with discretion, and maintain the highest level of professionalism.
Key Responsibilities
Effective Communication: Demonstrate excellent written and oral communication skills.
Point of Contact: Act as the primary point of contact for administrative staff within our organization and with our valued member health centers.
Calendar Management: Coordinate meetings, schedules, and calendars to ensure efficient operations.
Document Preparation: Prepare and edit correspondence, communications, presentations, memos, and other documents.
Internal Liaison: Collaborate with internal staff at all levels, performing secretarial and administrative duties.
Meeting Support: Record, transcribe, and distribute minutes from meetings and ensure appropriate follow-up.
Website Oversight: Interact with staff to oversee website updates.
Software Proficiency: Utilize various software programs for tasks such as word processing, spreadsheets, databases, and presentations.
Communication Hub: Monitor, screen, respond to, and distribute incoming communications.
File Management: Organize the department's online file structure and file documents accordingly.
Project Coordination: Coordinate project-based work effectively.
Travel Arrangements: Book conference and travel arrangements.
Event Support: Assist with offsite meeting preparation and coordination, providing staff support at events.
Mailing Coordination: Assist with mail merge projects and other mailing coordination.
Professional Support: Provide general administrative support courteously and professionally.
Adaptable: Perform additional tasks as directed.
Qualifications
Associate Degree, Bachelor’s degree preferred.
Minimum of three years’ experience working as an executive assistant, preferably in a healthcare setting.
Skills And Abilities
Professional level verbal and written communication skills.
Excellent interpersonal skills.
Strong organizational skills, able to prioritize tasks effectively.
Proactive problem-solving and decision-making skills.
Ability to work independently with discretion.
Proficiency in Microsoft Office, particularly Word, PowerPoint, and Excel.
Excellent time management skills.
Knowledge of standard office administrative practices and procedures.
Classification
This is a hybrid position, primarily remote but may require occasional office work and minimal travel within Los Angeles County.
