Job Description
Executive Assistant with Recruiting and Culture Support - Tech-Centric Start-Up


We are seeking an exceptional Executive Assistant with a strong background in providing high-level support to executives, to join our fast-growing tech-centric start-up in the real estate industry. In this role, you will primarily support our CEO and COO, ensuring smooth day-to-day operations and facilitating efficient communication. Additionally, you will play a crucial role in supporting the recruiting process and fostering a positive internal culture by organizing all-hands meetings, events, celebrations, and employee recognition initiatives. This position requires a proactive and detail-oriented professional with the ability to handle multiple responsibilities and maintain confidentiality.


Responsibilities:


  • Help coordinate onboarding activities for new hires, including paperwork, orientation materials, and assisting with orientation sessions.
  • Assist in organizing and planning executive-level meetings, including logistics, agenda preparation, and follow-up actions.
  • Support the internal culture of the company by organizing and coordinating all-hands meetings, events, celebrations, and employee recognition initiatives.
  • Act as the primary point of contact and provide comprehensive administrative support to the CEO and COO, including managing calendars, scheduling meetings, and handling correspondence.
  • Support the recruiting process by coordinating interviews, scheduling candidate meetings, and arranging necessary resources.
  • Assist with candidate sourcing and initial resume screening.
  • Collaborate with the team on various projects and initiatives related to employee engagement and culture-building.
  • Coordinate travel arrangements, accommodations, and itineraries for executive team members as needed.


Requirements:


  • Familiarity with event planning and employee recognition programs is a plus.
  • Excellent verbal and written communication skills, including exceptional attention to detail.
  • Strong organizational and multitasking skills, with the ability to prioritize and manage multiple tasks simultaneously.
  • A proactive mindset, anticipating needs and taking initiative to resolve issues.
  • Proven experience as an Executive Assistant, preferably supporting C-level executives.
  • Proficiency in standard business software (such as Office or Google) and other relevant software applications.
  • Previous experience with recruiting logistics or HR coordination is preferred.
  • Ability to handle sensitive and confidential information with the utmost discretion.
  • Strong interpersonal skills, with the ability to build effective relationships with internal and external stakeholders.
