WHAT YOU’LL DO:
Reporting directly to the Senior Vice President of Talent Acquisition and serving on the TA leadership team, this position will partner closely with clinical leaders, Operations executives, and TA peers in the management of the USAP Talent Acquisition Center of Excellence.
Summary Responsibilities: Leading distributed team, this role will lead the operations and staff supporting the USAP Talent Acquisition Center of Excellence, consisting of two major functions, supporting a team of 30, executing 1500 complex clinical hiring transactions a year:
Clinical Talent Acquisition Operations: This operations function includes, recruitment administration, metrics, reporting, contract administration, and Project Management. This role will lead the operations and team that provides this support including:
- External Training Development: Ensure the continuous development and maintenance of external training guide and presentations given to several hundred clinical students and future prospect employees each year.
- General Administration: Ensure system libraries and other resources are updated and used (TEAMS and SharePoint), lead POC to HRIS and ATS team in HR to ensure talent operations objectives are matched with system changes and requests.
- Contract Administration: Oversee the process for drafting and distribution of physician employment contracts and offer letters, as well as template management performed in regular collaboration with the USAP legal team.
- Workforce Reporting Administration: Supervising the creation of the monthly staffing workbook, recruiter incentive compensation tracking, general ATS reporting, and executive briefing decks.
- Maintain the organizational budget and updating the organizational annual staffing plan.
- Liaison with HR Operations to ensure smooth flow of the candidate hiring process as it transitions from the recruitment teams to the USAP HR onboarding and credentialling team.
- Initiatives and Planning: Manage the team, resources, and tools used to deliver annual projects and initiatives. Participate in annual leadership planning and strategy sessions with an eye on opportunities for innovation and greater operational efficiencies.
USAP Contract Worker Management: USAP is building a new enterprise-wide function to manage all non-employee hiring transactions and employment vendor relations. This role will lead a manager and team of 1-2 contributors that operates a centralized function that:
- Manages locum’s vendor relations, contracting, hiring requirements distribution through our vendor management tool, billing oversight, and dispute resolution.
- Coordinating process and business relationship with Anesthesia OnCall, USAPs internal Locum’s company
- Manage new employee stipend and loan repayment programs.
- Locums’ worker lifecycle management: This is for 3rd party locums and independent 1099 clinicians. Hiring process oversight, worker database administration, name clearing, timecard management, and offboarding.
- Overseeing and maximizing use of VMS technology to ensure optimum, cost-effective, timely and high-quality results.
- Ensure long term ROI to the USAP enterprise through continuous innovation, market research, and consistent training, and internal outreach.
- Establish quality metrics for the program and ensures supplier adherence to quality standards and compliance requirements.
- This leader will also serve as the project co-lead for the ongoing project to create this function.
- Manages relations with key USAP operations and clinical leaders for short term temporary staffing needs and consult on long term non-W2 staffing strategy.
This is a high profile, external facing role, requiring 10-20% travel.
Qualifications
- Results oriented; Prior at establishing KPIs (key performance indicators), measuring, and reporting results.
- Have abilities associated with problem identification; reasoning; ability to work with business units in the development ideas to solve staffing issues.
- Excellent communication, verbal and written, and skills to communicate to a diverse population.
- Strong leadership and facilitation skills with clear ability to build relationships with stakeholders at all levels, including Executives.
- Bachelor’s degree in relevant discipline and 8-10+ years of equivalent work experience in recruitment. At least 3-5 years’ experience in healthcare recruitment is highly desired. An MBA or MHA is preferred.
- Must be super detail oriented and able to maintain excellent situational awareness in a complex environment with competing priorities.
- Proficiency with recruitment hiring and/or CRM systems such as iCIMS, SalesForce, Workday, SuccessFactors, Microsoft Office applications.
- Demonstrate a proven track record of leading recruitment operations or initiatives in any of the following areas: recruitment operations, technology implementations, school graduate recruitment, or Vendor MSP management.
