A rapidly growing architectural company currently located in the DC (Tyson's) area, is looking for a Full-time Administrative Assistant to join their fun team. The Administrative Assistant plays a large role in creating a first impression of the company via in-person and phone interactions with individuals, including prospective clients, employees, guests and vendors who walk through the door. - Provide professional, timely, courteous and accurate service to employees, clients and vendors
- Perform general office duties, as required, including sorting and delivering mail, perform outgoing shipping, and errands
- Coordinate conference room scheduling and set-up as well as vendor lunch and learns
- Ensure a smooth and seamless employee and guest experience by communicating warmly, clearly and effectively to meet the request at hand
- Understand and follow tasks for all assigned areas
- Answer questions and solve problems independently with cross-training to provide accurate information
- Transfer calls as required, familiar with the roster of 50+ employees and their positions
- Order and stock office and breakroom supplies
- Assist internal clients/teams with logistics, needs, events and outings
- Assist with onboarding and training of new employees, processing paperwork and getting compute, phone and desk setup.
- Greet clients with a smile and maintain a tidy work area
- Answer phone calls promptly and professionally, including external and internal calls
- This position will require being in office 5 days a week
Education
- College degree and/or related experience and training preferred
- High School diploma or general education degree (GED)
Job Qualifications
- Perform daily responsibilities with initiative (i.e. opening/closing tasks, stocking supplies, completing requests, meeting deadlines)
- Previous receptionist or administrative support experience preferred but not required
- Administrative experience in the Architecture and/or Construction industry a plus
- Communication Proficiency (oral and written) Customer Focus Team Orientation Multi-Tasking
- Strong organizational skills and detail-orientation
- Be able to learn quickly and follow detailed instructions
- Strong proficiency in MS Office Suite
Hourly pay - $18-22 per hour (approved overtime is paid time and a half) plus opportunity for annual bonus. Great benefits including 401k, paid holidays, paid time off, professional/casual dress and team outings throughout the year
Experience
- Minimum 2 years of office administration or reception experience (or an equivalent combination of education and experience, sufficient to successfully perform the essential duties of the job)
Additional Eligibility Qualifications
- Position requires frequent reaching, bending, standing and sitting for prolonged periods
- Provide consistently accurate service
- Good analytical skills, ability to prioritize and multi-task job duties
- Ability to lift 40 pounds repetitively
- Familiar with basic bookkeeping procedures, strong attention to detail
- Exhibit motivation and initiative, flexible and energetic spirit
- Ability to interact with senior management, staff, clients and vendors as a service professional at all times
- Motor valid driver’s license and insurance
- Ability to follow through and help with tasks as a team player
- Proven computer experience; proficiency in Outlook, Word and Excel required
Work Environment This job operates in a professional office environment with a casual business attire for employees. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
