The Opportunity:
The Benefits Coordinator is responsible for the day-to-day administration of all company benefits programs, including Medical, Dental, Vision, Life and Disability Insurance; 401(k), Voluntary Benefits, Adoption Assistance, Tuition Reimbursement, Flexible Spending Accounts, and Wellbeing programs.
Responsibilities:
  • Initiate Life Insurance claims and support associates and family members
  • Assist with implementation of new programs and policies
  • Respond to national medical support notices, complete Medicare/Medicaid enrollment forms, and other government reporting requirements as directed by management.
  • Assists with the associate education and engagement, support distribution of enrollment materials, annual notices, and other important communications. Conduct benefits orientations
  • Monitor Benefits Inbox and Ticketing system to timely address associate benefits inquiries. Assist associates with Tier 2 benefits plan questions, eligibility, claim issues and plan changes.
  • Ensure compliance with ERISA, IRS, ACA, HIPAA, etc.
  • Maintain employee benefit elections and ensure benefits changes are entered appropriately in HRIS system for payroll deduction. Assist with tracking arrears, repayments, refund, and other payroll adjustments.
  • Support open enrollment process including communications, system testing, new vendor implementation, associate education and enrollments, election audits.
  • Work with benefit vendors and third-party administrators to resolve any administrative issues. Build vendor relationship
  • Or other informational meetings as needed.
  • Other special projects and duties, as assigned
  • Identify and participate in process improvement initiatives that improve the customer experience, enhance workflow, and/or improve the work environment.
  • Process associate life events, review administrative appeal requests and escalate as needed. Process manual changes in the HRIS system.
  • Monitor pending Life Insurance EOI requests and approvals
  • Administer employer benefit portals, process urgent enrollments
Requirements:
  • 1-3 years of previous experience
  • Strong attention to detail and accuracy, excellent organizational and time management skills with the ability to prioritize and multitask effectively
  • Proficient with Microsoft Office Suite or similar software
  • Strong HRIS experience, preferably with Workday
  • Strong critical and creative thinking skills to assess and resolve problems or issues by gathering and evaluating information and using judgment consistent with standards, practices, policies, procedures, regulations, or laws
  • Experience with administration of various benefits plans
  • Knowledge of applicable state and federal laws such as ERISA, CMS, FMLA, IRS, DOL, PPACA
  • Knowledge of employee benefits and general payroll processes
  • Customer service oriented with the ability to work well under pressure
  • Excellent written and verbal communication skills.
