Organization Overview
Bellwether was founded in 1980 to create housing in downtown Seattle so city workers could live close to their jobs. Over the years, we have lowered barriers to housing which has allowed us to serve more households coming out of homelessness, individuals and families connected with the criminal justice system, and others excluded by typical landlord screening criteria, all of whom are disproportionately BIPOC.
To meet the intense need for affordable housing in our region, we plan to build and acquire 2,500 homes by 2025. Come join us on this exciting and ambitious adventure!
Position Summary
Act as administrative support to Compliance team and Site Managers on a variety of projects, as assigned. Assist with the annual recertification process for a small portfolio. Oversee Compliance department intake workflow. Provide customer service and technical assistance to Bellwether’s Site Managers throughout the housing application process. Assist at Bellwether properties, conducting compliance related support as needed. Work in a manner that advances the organizational and department’s values and goals.
Work location:
South Lake Union Administration/Remote - at least 1 day per week in office and more as needed.
Schedule
Mon-Fri, 8a-5pm with flexibility to work occasional evening or weekend hours based on business needs. Final schedule determined by People Leader.
Position Responsibilities
Compliance Team Support
  • Assist Compliance team with data entry and auditing projects
  • Prepare and review resident eligibility files for audits by external funders
  • Maintain paper and electronic file storage systems, and proper destruction of files according to regulatory requirements and timelines
  • Assist Compliance Specialists with conducting review of annual and ongoing re-certification paperwork for residents according to Bellwether procedures, working with Site staff to follow up with residents on missing or additional required paperwork.
  • Apply knowledge of regulatory agreements and program requirements that exist between Bellwether and city, state, LIHTC and federal funding sources while performing job duties
  • Compile and send weekly updates on applications and recertifications in process
  • Assist Compliance Specialist with reviewing and filing lease packets
  • Generate verification reports such as BVS and the Work Number, as requested by Site Managers.
  • Assist with preparing annual reports, including resident files and supplemental reporting materials.
  • Meet established application/certification turnaround times.
  • Monitor intake emails and route to the appropriate Compliance Specialist.
  • Perform required compliance tracking and data entry. Maintain application and recertification status spreadsheets and household certification and demographic data in Yardi
Property Management Team Support
  • Support Site Managers with day-to-day administrative tasks such as filing and archiving documents, assisting with preparation of move in packets, and recertification files.
  • Assist Property Management staff with additional administrative tasks and projects, as assigned.
Resident Experience
  • Create an environment that inspires a high level of service for prospects, applicants, and residents
  • Ensure fair and equitable application of screening and other core department policies and resident relations processes.
Self & Team Development
  • Work together with all Bellwether coworkers to learn effectively from and with each other, and to incorporate the lessons learned

Requirements
(Minimum)
  • Dependable, self-motivated, and organized individual skilled at multi-tasking, meeting deadlines, and producing high quality work.
  • Excellent written and verbal communication skills. Ability to communicate professionally, clearly and concisely, both verbally and in writing.
  • Ability to work independently or as part of a team.
  • High school diploma or GED.
  • Proficient with Microsoft Word, Excel, Outlook, and Adobe.
  • Ability to exercise discretion and maintain confidentiality at all times.
  • Exceptional customer service aptitude, including problem-solving skills and the ability to respond quickly and tactfully to customer requests. Positive attitude a must.
  • Ability to understand, interpret, and apply general administrative and departmental policies and procedures.
Desired Qualifications
  • Experience with PowerPoint and Adobe Acrobat Pro software
  • Knowledge of LIHTC guidelines.
  • Completion of WSHFC fundamentals and advanced training workshops.
  • Prior experience working with property management software, particularly Yardi Voyager
  • Knowledge and/or training in federal fair housing laws and landlord/tenant laws.
