Job Description
**Our biggest Insurance company is looking for a Records Management Analyst for the Philadelphia PA location - working in Hybrid mode**
Qualifications
  • Experience with WebEx hosting and training
  • Excellent analytical and communication skills.
  • Minimum 2 years operational experience with Records Management Program Implementation.
  • Willingness to speak with staff in person and over the telephone/video.
  • Experience with Microsoft products that includes Teams, One-Drive, SharePoint, etc
  • Ability to work in large corporate structure
  • Knowledge of applying retention guidelines
Educational Requirements
  • Bachelors degree
  • Records Management Analyst Designation and/or experience preferred.
Responsibilities
  • Help coordinate with records management vendors, including Iron Mountain and other records management and storage providers
  • Coordinate collection/distribution of information - including activity levels, vendor contacts/ authorized users/ workflow data, etc.
  • Proactively communicates with stakeholders, via email, phone calls, and occasional office visits to enhance the relationship; perform issue-resolution and scheduled follow-up meetings.
  • Conducts small group records management training via telephone and WebEx
  • Respond in a timely manner to all retrievals/accessions/destruction requests.
  • Works with internal business partners to administer standard RM policy and program compliance.
  • Provide project management expertise/analysis - example: inventorying, identification, and disposition of unidentified records.
  • Identifying process improvement opportunities/non-participating customer entities.
  • Supports the Records Management Team with maintaining records management processes procedures/retention, scheduled/overall program improvements for assigned business units.
  • Monitors business partners business initiatives/assisting with office moves and/or closures by managing migrations and transfer of records.
  • Educates business partners by providing customer training and new department set-up.
  • Assists with implementing records destruction and disposal processes
  • Monitor records database to ensure accuracy of data entry/storage and destruction.
  • Act as a resource to Lines of Business and Operations personnel regarding customer issues, attend meetings, and interface with appropriate departments as needed.
Support Departmental Initiatives
  • Develop cross training opportunities process, escalations and contact lists
  • Meet regularly to support business initiatives and priorities
