Job Description

Dakota Eye Institute is seeking a full-time Call Center Representative to join our team.


This position is responsible for maintaining effective patient communication functions of our practice. The individual in this position is responsible for answering the telephone in a timely, courteous, and professional manner, directing calls to appropriate personnel, scheduling appointments, and setting recalls.

Job Responsibilities

  • Notify our patient accounts department of a recently scheduled patient to run the pre-authorization if needed
  • Answers telephone calls promptly (two rings)
  • Inputs & updates patient demographic information
  • Financial Responsibilities

    • Obtains proper insurance information

    • Provides fee schedules and insurance information to patients

    • Notify our patient accounts department of a recently scheduled patient to run the pre-authorization if needed

  • Telephone and Greeting

    • Answers telephone calls promptly (two rings)

    • Addresses the caller’s concern

    • Directs all calls to appropriate personnel

    • Identifies emergency calls and directs to triage or schedules per protocol

  • Addresses the caller’s concern

  • Updates patient recalls as necessary
  • Schedules, reschedules, and cancels appointments as necessary following current scheduling protocols
  • Obtains proper insurance information

  • Data Entry and Chart Administration

    • Schedules, reschedules, and cancels appointments as necessary following current scheduling protocols

    • Updates patient recalls as necessary

    • Inputs & updates patient demographic information

    • Inputs insurance information

Knowledge, Skills, and Abilities Required

  • Two years minimum experience working in a medical setting
  • Accurate data entry
  • Pleasant telephone manner
  • Excellent customer service skills
  • Ability to manage multiple tasks simultaneously
  • Empathetic personality with concern and respect for patients’ needs
  • High school diploma or equivalent
  • Familiarity with computers and telephone systems
  • Motivation to succeed
  • Composure under pressure
  • Two years minimum experience in customer service
  • Strong organization with attention to detail
  • Excellent verbal and written communication skills
  • Ability to work as a team member, to interact with physicians/staff/patients

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer, for up to 8 hours per day.
  • Ability to hear softly spoken words
  • Ability to speak clearly
