Job Description
Summary Of Essential Functions


  • Performs a wide variety of typing and data entry assignments that are often confidential in nature.
  • Maintains files and reports in proper order.
  • Meets deadlines with prompt, thorough approach, with ability to prioritize various requests and complete duties as required.
  • Manages routine and detailed secretarial and coordination functions within the department.
Educational Requirements /Certifications:


  • Must be able to communicate effectively in English, both verbally and in writing.
  • Current CPI training (preferred)
  • High School Diploma or equivalent.
Knowledge/Skills/Abilities:


  • Ability to demonstrate proficiency in use and application of all electronic tools
  • Previous secretarial experience in a hospital setting preferred.
  • Demonstrate patience, tact, diplomacy and persistence in daily contact with patients, physicians and their staff, visitors, and all hospital personnel.
  • Ability to follow through on projects for timeliness, completeness and serviceability.
  • Ability to type sixty (60) wpm for computer data entry ensuring correct spelling and grammar
  • Understand and comprehend basic medical terminology.
  • Ability to communicate effectively and courteously with medical and technical personnel.
  • Must be able to prioritize work according to written or verbal instructions using organizational skills and sound judgment.
Duties and Responsibilities:


  • Uses interpersonal skills which convey a positive and supportive attitude and is straightforward and tactful in language (e.g.: active listening, good communication, telephone etiquette). . Demonstrates flexibility in response to unexpected changes in work volume, emergency staffing, and scheduling. Maintains department records and established department filing system to ensure the expeditious retrieval of information. Files all correspondence, reports, and forms in an appropriate location and in an orderly fashion within specified time frame of department.
  • Coordinates department meetings; records, types and files minutes as deemed necessary. Assists with the collection of data for dashboard, readmissions and delays. Facilitates and distributes facility dashboards to be presented to post acute agencies.
  • Performs all other tasks/responsibilities as necessary.
  • Will provide administrative assistance support to the Resource Center as directed. Assist in meaningful use transitions for signing patients up on the patient portal.
  • Understands systems analysis and design, operational processes, data management techniques, reporting tools and methods. Demonstrates ability to see a project or assignment to completion, accepting responsibility for all aspects of the project. Consistently attends meetings
  • Coordinates all activities in preparation of department correspondence to facilitate ongoing communication and department activities. Handles correspondence as required and/or requested by management including monthly reports external and internal. As well as, entering all authorization numbers from insurance for patient stays into the computer financial program.
  • Works with case managers and social work to assure utilization data and stats are correct and completed on time. Assists in delivery of required document delivery to patients and/ or patient designee including but not limited to MOT's, IMM's .Assists electronic transition of CME's for the mental health court.
  • Coordinates all follow up activities received from post discharge phone call related to patient care concerns, assistance with prescriptions, and/or follow up appointment assistance.
  • Schedules follow up appointments for patients as determined by compiled reports. Documents according to process for electronic medical record.
  • Accurately accounts and coordinates office supplies used in each department.
