Job Description
Founded in 1984, Firetrol is the national leader in fire protection & life safety services. We are seeking an Admin/Receptionist for Firetrol’s district office in Austin, Texas.
The successful candidate will oversee multiple administrative duties, which include:
  • Manage on call schedule and program phone system accordingly
  • Manage conference room assignments
  • Invoicing completed work orders
  • Assist with daily deposits
  • Time entry for payroll
  • Other responsibilities as required to support the business
  • Set up new customer accounts in Great Plains software and update customer accounts as needed
  • Answer incoming phone calls and direct to the proper department
  • Create new work orders in Great Plains and Service Trade software’s
  • Order / request COI’s
  • Assist with Accounts Receivable collection calls
  • Entering inspection and Monitoring contracts into Great Plains software
Requirements
Attention to detail is a MUST
Superior organizational abilities
Outstanding professional communication skills – written and verbal
Excellent interpersonal and relationship-building skills – for interacting with customers and employees alike
Ability to manage multiple tasks and changing priorities is a MUST
Ability to quickly learn and adapt to multiple business software platforms
Strong proficiency with Microsoft Office (Outlook, Excel, Word)
