An energy and utilities client are looking for Administrative Support Assistant who will be in charge in calendaring appointments, including coordinating, scheduling, and planning meetings, appointments and conferences using Microsoft Office 365 suite.


Location: Rosemead, CA, 91770


Position: Administrative Support Assistant


Pay: $19.06/hr. on W2


Duration: 12 months or longer


Note: hybrid, on site 1-2 days/week


Responsibilities


  • Coordinating travel, training arrangements, and departments events
  • Providing backup support for the department Executive Administrative Assistant and peer Senior Administrative Assistant, as needed.
  • Handling confidential and sensitive calls, files, documents, and reports
  • Creating and processing purchase requests in Ariba; order office supplies
  • Planning, organizing, and prioritizing multiple assignments and daily tasks and adjusting to changing priorities
  • Filing electronic documents in SharePoint
  • Creating and processing expense reports; timekeeping data, and miscellaneous invoices in SAP
  • Performing other responsibilities and duties as assigned.
  • Calendaring appointments, including coordinating, scheduling, and planning meetings, appointments and conferences using Microsoft Office 365 suite


Required Skills/Attributes


  • Two or more years of experience utilizing SAP or similar applications to create and process purchase requests, expense reports, timekeeping data, miscellaneous invoices, etc.
  • Four or more years of experience managing management level calendars, including coordinating, scheduling, and planning meetings, appointments, and conferences using Microsoft Teams and/or Outlook.
  • Four or more years of experience working with Microsoft Office 365 applications (Outlook, Excel, Word, Sharepoint, PowerPoint, Power BI, etc.).
  • Four or more years of experience performing advanced administrative, secretarial, document management, and clerical functions.


Desired Skills


  • Three of more years of experience working well under time constraints with ability to self-manage priorities while maintaining attention to detail and producing high-quality work with minimal supervision.
  • Two or more years of experience developing reports with Microsoft Excel utilizing formulas and functions such as pivot tables.
  • Ability to interact with Edison Executives and their respective Admin support, as well as, all levels of personnel, excellent oral and written communication skills, including accurate typing and spelling and thorough knowledge of grammar, sentence structure, and punctuation.
  • Two or more years of experience utilizing SAP to create statistical reporting.
  • Four or more years of experience supporting two or more senior leaders or managers simultaneously.
  • A combination of formal education, training, experience to gain knowledge, skills, and abilities generally equivalent to those processed by a high school graduate.
  • Ability to exercise discretion and good judgement in handling confidential and sensitive telephone calls, files, documents and reports.
  • Researching, coordinating, and finalizing complex assignments.
  • Previous experience performing proactive planning, organizing, and prioritizing multiple assignments, and daily tasks.
  • Experience filing both electronic and paper documents.
