Location:This role is open to work in our NYC office on a hybrid work schedule (remote Monday + Friday).

Role overview
We are looking to hire an experienced Administrative Office Manager to join our team and to help develop and organize our corporate headquarters office operations. The ideal candidate for this role is a natural leader and someone who will provide confidence to Laxxon's senior management that all aspects of our business operations are running smoothly and that employees see value in the Office Business Manager’s engagement. The Office Business Manager will report to the C-Suite but serve cross-functionally across the company. We are seeking an adaptable, high-performing individual who is passionate about process, organization, communication and is excited to work in a fast-paced, startup environment.
The Administrative Office Manager’s key responsibilities in this role include serving as: 1) Executive Assistant to the CEO and senior leaders and 2) Office Manager. The objectives and responsibilities will include, but not be limited to, the following:
Responsibilities
- Providing standard clerical duties as assigned, including faxing and copying, organizing meeting schedules, and filtering communications to the proper individuals or offices.
- Manage vendor relationships, contracts, and service agreements
- Responsible for writing reports, memos, and other business documents in a clear, concise manner and helping with the handling of human resources activities
- Responsible for coordinating with R&D facilities to schedule and order necessary materials and supplies
- Special projects
- Set policies and procedures to ensure that staff members are well trained and confident in their abilities
- Ensure that any visitors are well received and escorted to meeting locations.
- Help organize schedules and personnel databases
Skills and Qualifications
- Microsoft Skills in Word, PowerPoint, and Excel
- Flexibility to adapt to changing priorities and work independently.
- Ability to maintain confidentiality and exercise discretion.
- Paralegal experience (optional)
- Strong interpersonal skills to interact positively with employees and external stakeholders.
- Strong written and verbal communication skills to produce reports, assign tasks, accept instructions, and handle vendor contracts, among other tasks.
- Attention to detail to ensure tasks are completed thoroughly and correctly.
- Organization and the ability to multitask to complete a wide variety of requests.
Additional Requirements:
Able to work on a hybrid schedule in the NYC area
Must be eligible to work in the US - no exceptions.
