Description Of Duties / Essential Functions


The Houston Public Library (HPL) is seeking an Administrative Coordinator to join the Communications Division. The Administrative Coordinator in the Communications Office is the primary Council Liaison for the HPL Department and will assist in supporting organizational advancement and departmental relations with elected officials. The selected candidate should be politically savvy, perform accurate and detailed work and the ability to work with executives, HPL partners and stakeholders, and all levels of staff.


Responsibilitiues


  • Performs other duties as assigned including handling issues and information of a highly sensitive nature.
  • Under the direction of the Deputy Assistant Direct of Communications, coordinates correspondence, requests for information, etc from Council Members and/or Council Members’ staff in collaboration with HPL Executive staff.
  • Prepares polished committee presentations and orientation packets for new Council members.
  • Must be able to assess process improvement and make recommendations for improvement or change as necessary or appropriate.
  • Work towards highlighting HPL’s accomplishments and visibility in the industry and beyond by researching and identifying opportunities for award submissions, media mentions and stories across all media channels.
  • Assists in responding to Houstonians and others who request assistance from HPL or the City of Houston and working with the media.
  • May supervise, guide, train, or evaluate staff.
  • Serves and departmental NOVUS approver for RCAs
  • Responsible for handling confidential or sensitive information.
  • Creates Requests for Council Action (RCA) and ensure they are complete within NOVUS;
  • Researches, analyses, reviews, collaborates with Executive Staff on legislative initiatives.
  • Attends all meetings with Council Members.
  • May prepare speeches and/or remarks for the department; assist with news releases and public relations; responds to the press, officials, clients, and the public on more sensitive department issues.
  • Serves as lead coordinator for departmental RCAs between HPL, Legal, SPD and Agenda Director
  • Investigates and makes recommendations for addressing issues of high complexity and/or sensitivity, including public session responses, RCAs, and Council Member questions.


Working Conditions


The position occasionally requires stooping or bending. Occasional very light lifting, such as three or four reams of papers or books (up to 20 pounds or an equivalent weight) may be required.


Minimum Requirements


MINIMUM EDUCATIONAL REQUIREMENTS:


Requires a Bachelor's degree in Business Administration, Liberal Arts, or a related field.


Minimum Experience Requirements


Five (5) years of administrative experience are required. Professional administrative experience may be substituted for the education requirement on a year-for-year basis.


Minimum License Requirements


A valid driver's license and compliance with the City of Houston's policy on driving (AP 2-2) preferred.
