Job Description

Launched in 2010 as a technology consulting firm, Untangled, LLC offers exceptional quality control combined with personalized customer service. We have grown into a one-stop-shop for all home and commercial technology integration needs. Untangled, LLC specializes in the design and installation of technology and media solutions as well as integrated systems for homeowners and businesses throughout Connecticut and New York—and even beyond.
The Administrative Assistant/Receptionist is a multi-faceted role, collaborating with the entire staff at Untangled. They will be the first line of contact for new and existing clients and must be able to triage incoming calls and emails, directing clients to the appropriate department. The ability to manage clients’ requests in an empathetic and professional manner is essential. The Administrative Assistant/Receptionist will also be responsible for assisting in the overall coordination of project scheduling, IT and AV service scheduling. The ideal candidate must have the ability to multi-task, toggling between numerous responsibilities and request simultaneously.
This is an opportunity with the potential to grow into a larger role within Untangled, LLC.
PRIMARY RESPONSIBLITIES:
  • Schedule follow-up calls or meetings for Sales Manager.
  • Reach out to clients via phone and email to confirm installation dates and follow-up visits.
  • Schedule equipment training with client if necessary.
  • Client outreach via social media and Mailchimp.
  • Answer all incoming phone calls and redirect them to the appropriate department.
  • Gather all requisite information from clients regarding potential new opportunities and enter into CRM.
  • Use time tracking system to review Installer schedule.
  • Schedule consults for sales team and confirm via phone and email.
  • Continually update and refine the CRM.
  • Enter new clients into CRM.

  • Strong multi-tasking and time management skills
  • Professional demeanor and excellent customer service abilities required.
  • High school diploma, associate’s/bachelor’s degree in a relevant field preferred.
  • Business social media experience a plus
  • Ability to thrive in a fast-paced setting.
  • Positive demeanor, professional appearance, and professional attitude.
  • $18 - $25 / hour DOE
  • Proficiency in Microsoft Office (Outlook, Word, Excel).
  • Ability to provide exceptional customer service.
  • Ability to take initiative with projects to work both independently and as a team member.
  • Ability to effectively utilize our CRM system, ProjX360.
  • 4-5 hours daily (morning to early afternoon)
  • Excellent verbal and written communication skills.
  • Excellent skills in the areas of organization, attention to detail, time management, ability to manage multiple tasks, define and set priorities and problem solving.
