Covia is looking for a dynamic Administrative Assistant who will have a positive impact on the Operations team at its Kermit, TX location. As an Administrative Assistant, you will perform administrative and customer service duties for the plant. This role will assist the Plant Manager, Plant Superintendent, and designated supervisors with various administrative duties.
The Successful Incumbent Will Have The Following Key Accountabilities
  • Ensure completion of weekly payroll process.
  • Implement Corporate and plant-specific policies and procedures.
  • Perform other projects and duties as assigned.
  • Coordinate onboarding of employees
  • Coordinate and maintain effective office procedures and efficient workflow.
  • Prepare correspondence and reports as required.
  • Exercise initiative and judgment and make decisions within the scope of assigned authority.
  • Greet and direct visitors and telephone callers to the appropriate person(s) as circumstances warrant.
  • Participate in assessing the administrative processes as part of the plant's annual process assessment
  • Coordinate meetings and teleconferences as required.
  • Research and collect information in preparation for meetings, work projects and reports.
  • Participate in training provided by the Company.
  • Take actions authorized during the Plant Manager's and/or Operations Manager’s absence to see that matters requiring attention are referred to the delegated authority or handled in a manner so as to minimize the effect of the Manager's absence.
  • Maintain plant personnel records and insurance records, coordinating with Corporate Human Resources Department.
  • Maintain appropriate records and manage them per policy. Periodically purge files per the Records Retention Policy and Procedure.
  • Accept responsibility without direct supervision.
  • Coordinate and direct incoming and outgoing mail and courier services.
  • Maintain petty cash fund, accounts payable, payroll and related activities.
  • Serve as liaison with Corporate Customer Service to provide customers with needed support and processing of orders.
  • Select and/or make recommendations for purchases of office supplies and equipment.
  • Assist in the organization and execution of community service projects.
  • Compile daily, weekly, monthly, and annual reports of shipments and production.
The Successful Incumbent Will Have The Following Minimum Qualifications
  • 3 to 5 years of general administrative or reception experience required
  • Preference given to candidates with AA or AS degree
  • Excellent communication skills
  • Preference given to prior experience working in ERP system
  • High school diploma or equivalent required
  • Computer skills demonstrated through prior work experience
  • Pleasant, professional manner
  • Strong decision making and problem-solving skills
  • Knowledge of MS Word, Excel, and PowerPoint
