As an Administrative Assistant, you will play a vital role as the face of our company, providing exceptional customer service to all our clients. Your primary responsibilities will include:
* Sending correspondence to new and current clients, ensuring all necessary documentation is provided.
* Answering phone calls in a polite and courteous manner, addressing client inquiries promptly.
* Managing the calendar for agents and confirming upcoming appointments for our lead agent.
* Contacting clients with lapsed policies to provide courtesy reminders for payment.
* Assisting in setting up annual reviews for current clients.
* Aiding clients with payment processing and, once licensed, making minor policy changes.
* Communicating with clients regarding returned drafts or missing forms requiring signatures.
* Assisting clients with claims inquiries and providing necessary support.
* Revising old client quotes to secure new business opportunities.
* Gathering important information from potential clients requesting quotes when agents are unavailable.
* Updating the database with corrected addresses obtained from returned mail.
Skills and Experience
* Strong customer service skills: Ability to provide superior service and address client inquiries effectively.
* Excellent communication skills: Proficient in written and verbal communication to interact with clients and team members.
* Attention to detail: Meticulous in managing documentation, updating databases, and ensuring accurate information.
* Organizational skills: Capable of managing calendars, scheduling appointments, and coordinating tasks efficiently.
* Multitasking abilities: Skilled in handling multiple responsibilities and prioritizing tasks to meet deadlines.
* Problem-solving skills: Ability to analyze and resolve client issues or concerns promptly and effectively.
* Basic insurance knowledge: Familiarity with insurance policies, terms, and procedures is beneficial (not a requirement, as training will be provided).
