Summary
The position of Administrative Assistant requires an individual who can provide academic and professional support within the program, school, university, and community. Committed to the centrality of a Trine University education and possess the ability to support faculty in achieving excellence in teaching, scholarship, outreach, and engagement. The Administrative Assistant should have a broad understanding of appropriate academic programs and potential future directions, as well as be flexible, visionary, creative and energetic. Performs administrative duties to support the program and it’s administration, faculty, students and committees. This position will provide service to the university, while fully supporting Trine’s mission of preparing students to succeed, lead, and serve. The Administrative Assistant reports to the chair.
Essential Duties And Responsibilities
  • Create and maintain effective filing systems
  • Research, assemble, create and distribute correspondence, reports, syllabi, and other program documentation with a high level of accuracy
  • Employ office technology and equipment including computers, laptops, printers, scanners, copiers, etc.
  • Interact and assist faculty and students as needed
  • Assist with classroom, office and laboratory technology use
  • Additional duties and assignments as prescribed by the Program Director
  • Attend faculty meetings and participate in faculty committees including program strategic plan and accreditation
  • Maintain and distribute forms or other materials
  • Assist with student admissions and orientation processes
  • Serve as receptionist for the department, answering phones and greeting visitors
  • Purchase program supplies and equipment as directed
Education and/or Experience
  • Minimum of two (2) years of administrative support with a record of excellence
  • Ability to train others on complex processes
  • High level of computer and computer software literacy required (MS Office with Excel)
Proficiency in Microsoft Office is required, including Word, Excel, Power Point, Outlook and Publisher. To perform this job successfully, a candidate will have excellent written and oral communication skills. The candidate will be able to adapt to new technology and have good time management, organization and project management skills. Being detailed oriented is necessary. Previous administrative experience and working with databases is preferred.
