Job Description

Duties and – Assistant to Michael Gorin and Jacob Martin

The Administrative Assistant will manage the day-to-day operations as assigned, while organizing and maintaining files and tasks. The ideal candidate will be resourceful, proactive, able to work both individually and with a team, and possess flexibility and patience on ongoing industry procedure changes. The full-time role is 40 hours a week, with at least 3 days/week in the office.


Key Skills:

  • Verbal and written communication skills (including telephone etiquette, proper spelling and grammar)
  • Ability to multi-task and prioritize key items
  • Attention to detail
  • General Microsoft office skills with ability to learn proprietary software programs
  • Organization and planning skills


Responsibilities

  • Investment applications and insurance applications completed within 3 business days of assignment. Owning and organizing the processes involved in each and following up in a timely manner as business coordinators need additional requirements.
  • Assist with seminar and event planning
  • Assist with financial planning entry and client portal logins
  • Preparing marketing materials for presentations and meetings
  • Prior experience with database management is preferred but not required
  • Manage and update databases with notes, information, events and client changes
  • Corresponding with back office support and problem solving for any “snags” in processing. Following up on case tracking to make sure necessary updates are being made
  • Communicate and proactively follow up with clients as needed to get outstanding requirements and schedule meetings.
