Job Description

Administrative Assistant I –


Position Summary:

Provides functional support to the HSSE Manager, North America and other team members within the HSSE Department.


Responsibilities/Duties:

  • Prepares PowerPoint presentations for meetings.
  • Responsible for data entry for technical reports, spreadsheets, forms and correspondence as generated and directed in the department.
  • Accurately maintains HSSE electronic files and records for updates or prompt retrieval.
  • Arranges conference calls for HSSE RCA meetings, distributes meeting agendas, provides preparatory information, and receives information concerning matters related to the department.
  • Keeps HSSE bulletin boards updated with information provided by HSSE staff.
  • Coordination and support for HSSE related training functions and campaigns.
  • Responsible for HSSE administration data entry for INFOR task tracking software Prepares and distributes weekly contractor grade report.
  • Responsible for data entry and information updates for the Annual HSSE report.
  • Supports and documents issuance of employee safety boots and prescription eyewear vouchers. Supports the scheduling of new hire HSSE training and provision of security access badge.
  • Maintain HSSE incident and MOC database and prepare routine HSSE KPIs for the company.
  • Perform other duties as assigned by Supervisor.
  • Proofreads work for accuracy, neatness, and aesthetic.


Education/Qualifications/Skills:

  • Must possess a high level of ethics and integrity, with the ability to handle confidential information. Ability to obtain a TWIC card.
  • High school diploma or equivalent required Experience working in the Environmental, Health, Safety or petrochemical industry is a plus.
  • Proficient in MS Word, Excel, PowerPoint.
  • Self-starter who is highly organized and detail oriented, proactive and prompt with the ability to prioritize work and execute tasks with minimal supervision.
  • SAP, INFOR and data entry experience a plus.
  • Experience in handling calendars, scheduling meetings, travel arrangements, expense reports, arranging catering and conference seminars, and receiving visitors.
  • Effective verbal, reading, writing and strong grammar skills required.
