Job Description

We have an exciting and challenging opportunity for an Administrative Assistant in our Dallas office. The ideal candidate has strong communication, organization and Microsoft Office skills in addition to experience taking and distributing meeting minutes. Attention to detail and a strong sense of urgency are additional key attributes.
Working on our Unified Program Integrity Contractors team for the Southwestern Jurisdiction (UPIC SW), you can contribute to our efforts to make a positive difference in the future of our nation's healthcare programs. Our UPIC SW team identifies and investigates fraud, waste and abuse in the Medicare and Medicaid programs covering 7 states.
Please Note: This is not a senior or executive level position. This position has a hiring rate of $19.00/hour. We also offer an excellent benefits package that includes generous vacation and sick leave accruals, health/dental/vision insurance, long and short-time disability coverage, and two retirement plans.
Job Summary
This position performs administrative functions for the team, handling a wide variety of complex and confidential situations. Prepares routine and non-routine documents and/or reports, using word processing, spreadsheets, database, presentation and other office software. Schedules appointments and meetings, gives information to callers, and otherwise relieves team of administrative work. This position will take and distribute meeting minutes as a primary focus of their job.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
  • Coordinates and arranges conference calls, meetings, training sessions, conferences, etc; and prepares agendas, reserves and prepares facilities.
  • Records and transcribes minutes of meetings. This is a major focus of the position.
  • May answer and screen telephone calls
  • Prepares, edits, and may develop presentations and reports.
  • Prepares outgoing mail and correspondence, including e-mail and faxes
  • Coordinates travel for internal associates and external individuals as required
  • Processes letters, various correspondence, and reports
  • Makes copies of correspondence or other printed materials
  • Organizes and maintains file system, and files correspondence and other records
  • Orders and maintains supplies, and arranges for equipment maintenance
  • May read and route management's incoming mail
  • May act as contact person for business unit’s remote Associate, external customers and/or field reps
  • Coordinates manager's schedule and makes appointments
  • Gathers and summarizes data

Required Experience
Education and/or Experience
  • Intermediate level Microsoft Office skills to include Word, Outlook and Excel.
  • High school diploma or general education degree (GED) required; college degree a plus.
  • Experience taking, transcribing and distributing meeting minutes required.
  • At least one year at an Administrative Assistant level or equivalent combination of education and experience.
