Position Summary:

We are seeking an Administrative Assistant to support the attorneys in our North Fort Worth office. This position is responsible for (i) word processing functions in connection with attorneys’ drafting and revision of legal documents; (ii) organization of attorneys’ offices, including filing of documents; (iii) assisting attorneys in the coordination of transaction due diligence for Hillwood Properties transactions; (iii) accessing databases maintained by our corporate office containing archives, entity information, signature blocks, officers, directors and managers; and (iv) coordinating with outside counsel, lenders, title companies, and surveyors throughout the transaction process.

Responsibilities:

  • Coordinate travel arrangements and expense reports
  • Support Hillwood Properties attorneys, as necessary
  • Manage work projects with outside legal counsel, lenders, title companies and surveyors
  • Assist with office equipment and supply purchases
  • Email management
  • Maintain calendar, arrange conference calls, and coordinate group meetings (conference room and equipment set up)
  • Assist with answering and routing calls
  • Submit documents to applicable county offices for recording
  • Coordinate incoming and outgoing mail
  • Prepare relevant meeting materials, agendas, invitations and RSVP’s
  • Assist with the preparation, production, revision and organization of legal documents, correspondence, reports and other complex documents
  • Maintain office filing and organization; assist with file archiving
  • Utilize messaging and scheduling tools to assist in the coordination of meetings and appointments
  • Responsible for preparing, organizing, maintaining and distributing transaction documents, critical dates information, and deal process/closing checklists

Required Skills/Abilities:

  • Ability to work independently
  • Ability to prioritize tasks
  • Ability to exercise initiative within the parameters of the position
  • Excellent communication skills (verbal and written)
  • Demonstrated high level of professional demeanor, integrity, ethics and leadership
  • Flexible and able to meet deadlines
  • Proficiency in Microsoft Office Suite
  • Ability to multi-task and move quickly from one assignment to another
  • Familiarity with Laserfiche, a plus
  • Strong organizational and analytical skills

Education and Experience:

  • Real estate and/or legal experience preferred
  • Bachelor’s Degree preferred
  • One to three years’ administrative assistant experience
