Job Description

The purpose of this position is to provide administrative support to the Safety Operations Center and Roadside Safety Services Divisions. This is accomplished by answering and screening telephone and two-way radio calls, directing callers and visitors, completing routing of administrative documents and information, entering data, processing paperwork, distributing mail, inventorying, and maintaining equipment lists, tracking the maintenance of NTTA assets, filing, and maintaining confidentiality of documents. Other duties include preparing training materials, completing assigned projects, maintaining statistics, and training records, analyzing statistical data, and preparing reports.


Job Responsibilities:

  • Assist with the periodic inventory of NTTA assets in buildings and vehicles, etc. Maintain an accounting of the issuance and location of issued assets. Tracking and reporting on the maintenance of NTTA assets, including fleet and equipment, assigned to the SOC and RSS.
  • Provides administrative support to the Safety Operations Center and Roadside Safety Services. Provides customer service by greeting and directing visitors, answering the phone, taking messages, and referring callers and visitors, maintaining visitor logs and records of appointments, receiving and distributing mail, entering data, composing correspondence, filing documents, checks and maintains office supply inventory, and maintains files of documents and related information for the departments.
  • Organizes and schedules meetings by completing agenda packets, posting notices and advertisements, recording official minutes and preparing meeting rooms.
  • Evaluates activity reports and sorts them in databases; compiling and calculating statistics and reports; drives NTTA fleet vehicles.
  • Ability to cope with job related stress including but not limited to deadlines, customer, supervisory and staff interactions, multi-tasking and high work volumes is required.
  • Coordinates the preparation and submission of regularly scheduled information such as payroll, budgets, requisitions and purchase orders, and assists with and/or coordinates special projects.
  • Maintains historical files for the SOC and RSS; researches information for budgetary and statistical purposes; creates and maintains spreadsheets of data to support the operation of the divisions; creates and maintains reports to support the operation of the divisions, analyzes data from spreadsheets, reports, and databases for patterns.


Job Requirements:

Formal Education: Work requires knowledge of a specific vocational, administrative, or technical nature that may be obtained with six-months/one year of advanced study or training past the high school equivalency. Junior College, vocational, business, technical or correspondence schools are likely sources. Appropriate certification may be awarded upon satisfactory completion of advanced study or training.

Experience: Over one year up to and including three years.

Supervision: Job has no responsibility for the direction or supervision of others.

Human Collaboration Skills: Work may require providing advice to others outside direct reporting relationships on specific problems or general policies. Contacts may require the consideration of different points of view to reach agreement. Elements of persuasion may be necessary to gain cooperation and acceptance of ideas.

Freedom to Act: Receives Limited Direction: The employee normally performs the duty assignment according to his or her own judgement, requesting supervisory assistance only when necessary. The assignment may be reviewed upon completion. Performance is reviewed periodically.

Technical Skills: Basic: Work requires the use of standard technical skills appropriate to the work environment of the organization.

Reading: Intermediate - Ability to read papers, periodicals, journals, manuals, dictionaries, thesauruses, and encyclopedias. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.

Math: Intermediate - Ability to deal with system of real numbers; practical application of fractions, percentages, ratios/proportions and measurement. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.

Writing: Intermediate - Ability to write reports, prepare business letters, expositions, and summaries with proper format, punctuation, spelling, and grammar, using all parts of speech. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.

Certification & Other Requirements: Valid Texas Driver’s License. The ability to pass the fingerprinting and background check in accordance with the Criminal Justice Information Services (CJIS) security policy and maintain CJIS eligibility throughout employment.
