POSITION SUMMARY:
Performs all administrative tasks and duties associated with the Maintenance Department.
KEY RESPONSIBILITIES:
- Send out other daily, weekly, or monthly reports as needed .
- Ensuring employee time is entered for payroll (twice per month).
- Back up PM Document Controller as needed.
- Update and monitor department webpages.
- Setup new MPC and contractors hires with computer access and other request from supervision.
- Setup meetings and coordinate conference rooms.
- Manage and order supplies for the department.
- Assists Maintenance Manager with tasks as needed.
- Assist all Supervisors with tasks as needed.
- Ensure vacation balance in Workforce and Senterlink.
- Gather documents, reports, and make copies as needed.
- Ensure vacation daily and set up vacation at the end of the year for the next year.
- Order and pickup lunches as needed for meetings.
- Organize departmental meetings.
- Assist the Craft Supervisor with prepping for yearly evaluations.
- Manage department Policy and Procedure Documents monthly.
- Manage daily absence report.
- Assist the maintenance department and other departments as needed.
EDUCATION AND EXPERIENCE:
Minimal Qualifications:
- High school diploma or equivalent is required.
- A Transportation Worker Identification Card (TWIC) will be required upon hire.
Preferred Qualifications:
- Knowledge of Microsoft systems and webpages
- A minimum of five (5) years of administrative experience is preferred.
- Prior administrative assistant experience
