Job Description

Position:Administrative Assistant

Department:Home Builder Services

Reports to:Business Operations Manager

Works with:Business Operations Manager, Project Managers, Division Manager, Administrative Team Members

Position Summary:

Responsible for administrative duties including, but not limited to; assisting Home Builder Services Operations Manager with daily tasks related to processing of incoming production requests, reviewing, interpreting, and processing orders from customer portals, organizing, scanning, and coding PDF data, updating tracking spreadsheets.

Duties & Responsibilities:

•Complete daily tasks as outlined by Operations Manager

•Verify time entry in Aspire software.

•Receive and process customer orders in Aspire software.

•Request underground utility locates using web-based interface

•Complete applications for municipal permits

•Update tracking spreadsheets related to production, revenue, and permits

•Provide support to Home Builder Services Department as directed by Manager


Supervisory Responsibilities:

This position requires no supervisory duties. This position will interact with Management, Divisional Managers, and office personnel to help achieve all corporate objectives.This position must be able to communicate and interact with employees, vendors and customers.


Key Performance Indicators:

•Ability to enter information into database in a timely and accurate manner

•Ability to work independently and handle a heavy volume of work

•Ability to speak effectively with employees and vendors

•Ability to solve practical problems and deal with multiple variable in situation with limited guidance

•Ability to offer administrative support as needed

•Ability to coordinate information system needs with management


Preferred Qualifications:

•Previous experience with Aspire Software

•2-4 years of administrative experience

•Valid Driver’s license with clean motor vehicle record


Required Qualifications:

•High School graduate

•Strong communication skills both written and verbal

•Strong organization and detail orientation

•Data Entry and 10-key capabilities

•Basic reasoning abilities to coordinate effective completion of tasks

•Intermediate to Advanced computer skills: Microsoft Office; Word, Excel, Outlook


Work Environment:

While performing the duties of this job the position is regularly exposed to normal office environment conditions.The ability to sit at a computer for long periods of time is necessary.Noise levels in the work environment are moderate and can be high.


Compensation, Benefits and Other Information:

•Hourly pay depending upon experience.

•Paid days off after 90 days

•6 Paid holidays per year

•Benefits package after 60 days
