ADMINISTRATIVE ASSISTANT III - HUMAN RESOURCES



BID/JOB ANNOUNCEMENT


These positions are open to the general public and to all current city employees covered under the terms of the City's collective bargaining agreement with American Federation of State, County, and Municipal Employees (AFSCME)- BARGAINING UNIT1, 3, 4 & 5.

Duties: Assist the Director of HR, HR Business Partners, and Recruiter with responsive emails, projects, and reports. Create and maintain spreadsheets and databases. Proofread/ Edit documents and reports. Draft correspondence for supervisor’s signature. Order and maintain materials and supplies. Prepare various work reports. Attends meetings in the absence of supervisor. Researches, compiles and analyzes data to prepare programmatic and administrative reports; relays and interprets management directives to staff; participates in the conduct of studies and special projects and prepares reports on findings; studies office operational processes and recommends procedural changes to improve efficiencies; creates and maintains databases and spreadsheets using various software packages; edits and proofreads documents and reports.


LOCATION: Remote

DAYS OFF: Saturday and Sunday

SHIFT: Monday – Friday 8:00am-4:00pm, 8:30am-4:30pm, or 9:00am-5:00pm

HOURS: 37.5 hours per week to be scheduled during normal unit hours


THIS POSITION IS IN THE CAREER SERVICE


Qualifications

Three years of progressively responsible administrative or secretarial experience, or an equivalent combination of training and experience.


PREFERRED QUALIFICATIONS: Proficient with Microsoft Word, Excel, Outlook, and Teams. Must have strong written and oral communication skills. Good knowledge of office management and administrative procedures and practices. Good knowledge of desktop software packages. Good knowledge of report writing. Ability to compile and organize data and prepare reports. Ability to develop and maintain effective working relationships with supervisors and staff. Ability to supervise the work of staff. Ability to operate a personal computer. Good organization and administrative skills. Skill in using desktop software programs. Good analytical skills. Good oral and written communication skills. Good interpersonal skills.


SELECTION REQUIREMENTS

This position requires applicants to complete an interview and written test / skills assessment. Test results will be sent out by the Department of Human Resources after test results have been analyzed and compiled. Bid candidate(s) receiving a passing score on the test and possessing the qualifications best suited to fulfill the responsibilities of the position will be selected in seniority order according to the collective bargaining agreement.


Preference will be given to candidates possessing the following:


  • Microsoft OneDrive and Microsoft Sharepoint proficiency
  • Experience providing administrative support to a group or a team of professionals
  • Experience working in a library setting/government/human resources
  • Microsoft Office applications proficiency
  • Experience performing administrative duties such as scheduling, confirming appointments, and maintaining calendars
  • Experience have working collaboratively as part of a team
  • Bachelor’s degree is a plus
