Job Summary:
Southern Company Gas is hiring an Administrative Assistant to work directly with the Human Resources department. We are looking for an individual who is efficient, confidential and comfortable working with all levels. The ability to multi-task, while maintaining complex schedules and managing administrative support is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and very organized.
The Administrative Assistant provides administrative support to HR Delivery, Labor, Talent Development & Diversity, Inclusion & Equity. The individual in this role will provide seamless execution of tasks and administrative support including managing calendars, meeting preparation, planning meetings and events (procure location, invite attendees, set-up, scheduling, catering, clean-up, etc), preparing materials, processing expense reports, handling time entry, handling travel arrangements, maintaining office supplies, be the liaison between HR and HR Direct/Payroll for entries such as position changes, compensation changes, awards, and various reports needed in the department. and handling other tasks on behalf of the department, as needed. This position will support several HR leaders and their respective staff.
The Administrative Assistant must demonstrate a high level of integrity, professionalism and confidentiality, handling sensitive information with tact, discretion and judgment. A high degree of responsiveness and independent judgment is required to plan, prioritize and organize in a fast-paced, rapidly changing environment.
Functional Expertise
  • Process purchasing card activities; reviews and reconciles purchasing card expenses; enters PeopleSoft Financials for payment processing.
  • Answers phones for the HR Department and filters to the appropriate resource for handling.
  • Coordinates travel arrangements (e.g., air, hotel, ground transportation, restaurants)
  • Ensure compliance with federal, state and local regulations concerning employment, company policies that affect employment and employee discipline.
  • Plans and coordinates logistics for meetings and special events (e.g., conference rooms, refreshments, audio-visual, and participant invitations)
  • Manage calendars of leadership team
Business Acumen
  • Develop, review, and implement internal processes and ensure continuous improvement
  • Perform timely exit interviews and record data to be analyzed for retention purposes.
  • Support project planning by providing accurate estimates and status reports and meeting deliverables
  • Provide coordination and project support around various Talent Development, D&I and HR Delivery initiatives and deliverables for meetings and programs set-up, break-down and execution.
  • Work with managers and employees to provide any and all administrative support.
  • Assist with employee new hire orientation and other training programs
  • Plans and coordinates logistics for department meetings and special events.

  • Excellent interpersonal and communication skills and the ability to effectively engage individuals at all levels inside and outside the company

  • Demonstrated ability to achieve results through teamwork with other managers/departments
  • Update and maintain the Employee Relations SharePoint site
  • Respond to employee queries and concern in timely manner.
Required
Education, Certifications/Licenses:
  • High School Diploma or GED or GED equivalent
Preferred: Associates in Business, Human Resources, or related field

Related Work Experience:
  • At least 2 years of administrative assistant or clerical experience. Experience planning and organizing meetings, coordinating catering and event preparation.

  • Technical Skills: Intermediate proficiency in MSWord, MS Excel, PowerPoint, SharePoint
  • Good time management, judgment and discretionary skills.
  • Demonstrated ability to effectively plan and manage all levels of coordination for meetings, programs and off-site events

  • Demonstrated experience taking initiative and developing and sharing ideas and solutions
