Administrative Assistant


The Administrative Assistant is a vital member of the NANA Healthcare Management system of care. The Administrative Assistant is under the supervision of the finance manager and CEO, The Administrative Assistant is responsible for providing administrative support to the Finance Manager and finance team in order to facilitate the efficient operation of the organization.


Type: Full time


Pay Rate: $18/HR


Schedule: Monday – Friday; 8:30am – 5pm


Job Responsibilities Include:


  • Creating mailing and packages and deliver to post office
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Create estimates for clients utilizing Excel
  • Order office supplies
  • Work closely with Finance Department staff to keep tasks and projects on track, prevent bottlenecks, and meet deadlines.
  • Contributes to team effort by accomplishing related results as needed.
  • Supports the team by performing tasks related to organization and strong communication.
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Provides administrative support to ensure efficient operation of the office.
  • Develop and maintain a filing system Maintain contact lists
  • Answers telephone in a professional manner, receives and delivers messages.
  • Vendor Liaison (IT company, Phone vendor, Insurance etc)
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Help the CEO with calendaring/scheduling.
  • Provides information by answering questions and requests.
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Submit and reconcile expense reports
  • Maintains employee confidence and protects finance department operations by keeping information confidential
