Oasis Systems has an exciting opportunity for an ET-3 Administrative Assistant located at the Joint Base San Antonio, TX. This position provides support to the 47th Cyberspace Test Squadron.
- The ability to rebound and adapt quickly to sudden changes in deliverable requirements or deliverable expectations
- Ability to obtain and maintain a TOP SECRET/SCI clearance, US Citizenship required. Current clearance highly desired.
- Self-motivated, hard-working independent thinker that requires minimal supervision
- Proficiency in Microsoft Office Suite, including Excel, Project, PowerPoint, SharePoint, and Word
- Must be flexible in adapting to deadlines and changing priorities, has a pro-active attitude and a disciplined work ethic. A demonstrated flexibility of schedule and ability to handle last minute, short turnaround items. This includes an ability to quickly assess a situation or deliverable and then implement the most beneficial changes possible in the available time
- Thorough, detail oriented, and organized, with excellent time management skills and ability to prioritize and handle multiple projects at once
- Exceptional oral and written communication skills, organizational, critical thinking and analysis, meeting facilitation, and interpersonal skills are essential
- Excellent people skills - able to work with teams of varying sizes, technical abilities, and levels of authority with both internal corporate staff and teammates. An ability to work with many personality types and style preferences at the same time and help provide a constructive work environment
- The ideal candidate is a customer-service oriented problem solver with the ability to work independently and as part of diverse teams
- Must be even keeled and successful working in a stressful, ever-changing environment
- Must be comfortable handling a diverse range of simultaneous assignments while receiving direction from numerous customers
- U.S. Citizenship is required.
- Proficiency setting up and operating video conferencing systems
- Proficiency in utilizing Task Management Tool (TMT), Military Personnel Data System (MilPDS), Base Level Service Delivery Model (BLSDM), Evaluations MyEval, and Decorations (MyDecs) within MyFSS
- Must have the ability to communicate effectively both orally and in writing
- Maintain schedules and manage travel for division leadership
- Supports all aspects of program/project management involves planning, developing, organizing, coordinating, and conducting organizational activities to ensure squadron policies, processes, and program elements are integrated and documented
- Serves as primary office contact for the organization, interacting with squadron customers, other organizations, and external lines of business on a day-to-day basis
- Ensure the senior leadership is kept informed of all issues of interest that relate to the branch operations
- Provides administrative support in the management of personnel, financial, operations and technical programs. Position requires substantial coordination and interfacing with other offices
- Prepare meeting documentation, including attendance logs, minutes, and/or action items as applicable
- Assist in-processing and out-processing of military, civilian and contractor personnel assigned to the division
- Process evaluations (MyEval), and decorations (MyDecs) within MyFSS
- Assist in preparing for division-level events
- Performs administrative and management support services for a wide range of office functions
- Prepare background information and invite required meeting participants, ensuring documentation of the meetings are filed in accordance with organizational policies
- Support division leadership in administering quarterly and annual recognition programs
- Draft request Direct Hire Actions (DHA), Personnel Action (RPA), and Draft Positions Description (PD) Classification packages actions packages, retrieve pertaining documents required from prospective candidate and submit to supervisor for review/approval/submittal of complete package
- Monitor progress toward the accomplishment of various taskings and initiatives, manage branch-level suspense’s and deadlines
- Assist in managing office supplies by preparing orders, submitting for approval and purchase, and conducting inventories of existing office supplies
- Prepares agendas and plans for meetings (e.g., booking meeting space, arranging conference lines)
- Maintain official file plans and documents as division Records Custodia
- Works with minimal supervision. Provides expertise in general clerical, secretarial, receptionist, word processing, filing and record keeping, and non-complex analysis
- Draft documents for materiel lead (ML) and staff approval
