Job Description
Administrative Assistant Role


Position Summary: We are seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant. The successful candidate will provide essential support to our organization by managing administrative tasks and ensuring smooth daily operations of the Front Desk. This role requires strong communication skills, excellent multitasking abilities, and a proactive approach to problem-solving. The Administrative Assistant will work closely with various teams and play a crucial role in maintaining effective office management.


Responsibilities


  • Support the coordination and logistics of special events, such as workshops, conferences, or company-wide activities.
  • Schedule and coordinate meetings, conferences, and appointments; prepare necessary materials and agendas.
  • Conduct research and gather information for various projects or assignments as requested.
  • Perform general administrative tasks, including answering phone calls, responding to emails, and managing correspondence.
  • Manage travel arrangements and accommodation bookings.
  • Front desk management.
  • Assist with the preparation and editing of documents, reports, presentations, and spreadsheets.
  • Adhere to company policies and procedures, ensuring compliance with relevant regulations.
  • Create and maintain filing systems, both physical and electronic, ensuring documents are organized and easily accessible.
  • Sorting and distributing mail.
  • Preparation of expense reports.


Requirements


  • High level of integrity and professionalism.
  • Proven experience as an Administrative Assistant or similar role.
  • Proficient in MS Office.
  • Strong problem-solving skills and the ability to adapt to changing priorities.
  • Outstanding communication skills, both written and verbal, with the ability to interact professionally with colleagues and external parties.
  • Experience with Concur travel and expense systems.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Associate's degree or equivalent qualification is preferred.
  • Strong attention to detail and accuracy in all work performed.
  • Ability to work independently and collaboratively as part of a team.
